Our client is a fast-growing independent television production company with a reputation for making innovative and popular scripted and unscripted shows. They're now seeking a highly motivated and resilient individual for a demanding and fast-paced position. This role requires adaptability, strong problem-solving skills, and the ability to thrive under pressure in a high-intensity environment. The Assistant Office Manager will provide stability and support to the day-to-day operations, allowing the Office Manager to focus on strategic tasks . Experience using Microsoft Office Applications are a must for this role.
Responsibilities:
- Managing the reception desk during working hours.
- Coordinate with runners to cover reception from 8:30 AM – 9:00 AM and 5:30 PM until close, as well as during lunch breaks.
- New joiner's paperwork (RTW check and equipment sign-out forms) ensure this is completed and loaded onto the relevant systems.
- Company Asset log management – Log all laptops and equipment given out and swapped.
- Meeting room bookings
- Sole user and reconciler of Office Manager company credit card purchases (after OM approval) - maintaining meticulous records.
- Reconcile and create runner floats for Office Manager approval.
- Efficiently manage the office inbox, ensuring prompt and effective responses to all emails.
- Keep runners on task and delegate new tasks as they come in.
- Ensure smooth workflow.
- Engage and ensure work experience complete their allocated tasks and allocate any additional tasks.
- Report concerns, queries, commendations, and potential process issues to the Office Manager.
- Train new runners on processes and procedures.
- Act as the lead fire warden and first aider on site. (Training provided)
- Regular check-ins with the Office Manager.
- Opportunity to learn about office management and attend training courses.
- Visibility and guidance from the Office Manager.
- Assisting Development with the download of media
Skills required:
- Strong previous office or reception experience.
- Keen interest in stepping into a leadership role.
- Excellent organisational, time management and communication skills.
