An established industry player is seeking an Office Manager to oversee the daily operations of their London office. This dynamic role requires a proactive individual who can provide essential support to both internal teams and external clients. Position & Requirements
Role & Responsibilities:
Responsible for the day-to-day running of the UK office. By providing support to the entire UK Office, this role sits at the heart of all London-based teams. This will involve providing both proactive and reactive support to internal stakeholders as well as external clients and prospects.
Specific responsibilities include:
Office Manager
· Ensure the smooth running of the Robeco UK Office;
· Ensure physical office environment is professionally presented, organised, and clean; taking prompt action to rectify issues
· Greet and welcome visitors, preparing meeting rooms for external meetings and events.
· UK point of contact for all office-related enquiries, including primary point of contact for Building Management.
· Manage meeting room bookings, organise catering requirements and be on hand for any requirements
· Maintain service records for office equipment and up-to-date inventory of technology
· Manage and maintain mail and deliveries for the UK Office
· Responsible for access control: issue / withdraw access cards, maintaining up to date schedule of issued cards.
· Coordinate replenishments for consumables, stationery, kitchen, or office supplies
· Coordinate all equipment maintenance and purchases
· Answer and direct inbound calls
· Monitor and maintain the Robeco UK mailbox.
· Office Fire Warden
Team Assistant
· Provide expenses processing assistance to Team Leads.
· Event coordination for UK events, for example but not limited to; Offsites, Client lunches, Team events.
· Manage and process supplier invoices, purchase orders and have the relationship with Accounts Payable and Procurement
· Liaise with the office’s external IT support provider and Robeco employees to solve IT issues
· Main contact with Rotterdam IT team to liaise on any IT issues and updates for the UK office
Requirements
· Preferred Financial Industry experience
· Demonstrate experience in a similar role supporting a number of teams and individuals
· ‘Can do’ attitude and flexibility to manage multiple roles and responsibilities as is required in the UK office, while maintaining a high attention to detail.
