Job Description

We are seeking a motivated and organised PA for our D2C Senior Management Team (SMT), who’ll also serve as an assistant Office Manager. This role is essential in ensuring the smooth operation of our London office and providing vital support to our senior leaders.

What does the job involve?
Personal Assistant duties
  • Managing diaries and arranging meetings for SMT
  • Booking travel/accommodation and processing expenses
  • Supporting in preparation and distribution of senior management meeting packs including for Executive Committee and Board
  • Organising, attending, and taking minutes at internal and external meetings and ensuring follow-up
  • Tracking action logs and ensuring follow-up
  • Assisting in preparing documents, presentations, and reports for the senior management team, including internal communications for the MD
  • Acting as a point of contact for internal and external stakeholders, handling inquiries and directing them appropriately
  • Working collaboratively with other EAs/PAs to ensure alignment with the rest of ExCo and D2C SMT and providing cover for other EAs if required
Assistant Office Manager duties
  • Working closely with the Office Manager and building management to manage day-to-day office operations including:
    • Coordinating visitors
    • Maintaining tidy office space and meeting rooms
    • Keeping communal kitchen area tidy and well-stocked
    • Managing meeting room and desk booking processes
  • Acting as a First Aider and Fire Marshall for the office
  • Supporting Office Manager and Social Committee to organise and coordinate office events
Candidate Requirements
  • Experience of working in similar roles in a corporate environment
  • Advanced skills in Office365 (SharePoint, Excel, PowerPoint), electronic diary and email management
  • Advanced skills in minute taking and audio typing
  • Qualifications: A*-C in GCSE English and Maths (or equivalent)
Knowledge & Skills
  • Advanced stakeholder management skills, with the ability to build effective relationships across all levels
  • Highly organised with exceptional attention to detail
  • Excellent written and verbal communication skills
  • Team player who collaborates effectively and is flexible
  • Ability to manage complex information and summarise effectively
  • Lateral thinker with problem-solving skills
  • Diplomatic and discreet in handling sensitive matters
  • Proactive, able to work independently
