Job summary

Change Grow Live in Birmingham is seeking an Administrator to join the North, Central & West Hub. You will be the first point of contact, manage a busy reception, and provide essential administrative support to enable the team to deliver services to users.

The role requires strong IT and MS Office skills, excellent communication, confidentiality, and the ability to work flexibly across sites. Salary is pro rata for part-time hours, with a 37.5-hour week and a permanent contract.

We have an exciting opportunity for an Administrator to join our busy North, Central & West Hub in our Birmingham Service. Our Administrator team, here at Change Grow Live play an integral part in supporting the team in our mission, providing administrative and clerical support to our team, enabling them to focus on delivering our services, ensuring our service users receive the help and support they need to achieve their goals. Acting as our first point of contact our Admin team are the face of our service, speaking with our service users face to face and via the telephone, are non-judgemental, empathetic and want to make a real difference to people's lives.

Where: Change Grow Live North, Central & West hub, 40 Newtown Shopping Centre, Newtown, Birmingham B19 2SS

Hours: 37.5 hours per week

Contract type: Permanent

Please note: Full-time hours at Change Grow Live are 37.5 hours per week. For part-time roles, the salary and any associated payments will be pro rata based on contracted hours.

Responsibilities
About the role
  • Be the first point of contact within the service.
  • Managing a busy Reception.
  • Provide organisational, administrative, and clerical services to the team designed to contribute toward its aims and objectives.
  • Ensure that telephone calls and visits from service users, outside agencies and CGL staff are dealt with promptly and courteously, transferring calls to appropriate personnel when necessary.
  • Complete effective processing of correspondence/data entry as required.
  • Generating Prescriptions.
  • Minute take at partnership and clinical meetings as required.
  • Collate, monitor, and report data/information and statistics as required.
  • Carry out photocopying as required.
  • Ensure that all admin, record-keeping, and communication within the project are maintained.
About you
  • Knowledge of general office procedures
  • IT literacy including proficiency in word processing, excel spreadsheets and other MS applications.
  • Good interpersonal skills and a willingness to work flexibly as part of a team.
  • The ability to respond to appropriate requests for assistance, maintaining confidentiality whenever necessary.
  • Confident and effective communication skills, both verbally and in writing and solid numeric skills
  • Excellent organisational and time management skills
  • Able to take responsibility for your own personal development, identifying personal training needs and participating in regular supervision and appraisal.
  • An empathetic and non-judgmental attitude towards service users.
  • The ability to respond flexibly to the demands of the post.
  • The ability to work as a member of a team.
  • Show a capacity to work alone and the ability to keep calm under pressure.
