Job summary

Change Grow Live is seeking a Data Administrator at HMP Hindley to support data entry, statistics and confidential information management within a psychosocial services context. This role works closely with recovery teams and prison staff, ensuring accurate data handling and secure communications.

The position requires IT literacy, experience with data systems (NDTMS, SystmOne) and proficiency in WORD/EXCEL/ACCESS, with a calm, empathetic approach to service users.

Qualifications

  • General office procedures and administrative duties.
  • Proficient with data collection systems (NDTMS, Public health).
  • Experience with WORD, EXCEL, ACCESS.
  • Ability to work alone and remain calm under pressure.
  • Empathetic and non-judgmental attitude towards service users.

Responsibilities

  • Escort external visitors into and out of the establishment.
  • Serve as first point of contact for telephone calls, directing to staff as needed.
  • Transmit confidential, accurate information to staff.
  • Process prison post and correspondence.
  • Take and keep meeting minutes.
  • Maintain service statistics and assist with data entry (NDTMS, SystmOne).
  • Organise filing systems and maintain records.
  • Monitor and reorder office stationery.
  • Photocopying as required.
  • Support development of efficient record-keeping and communication systems.
  • Generate controlled drugs prescriptions for release using SystmOne.
  • Book and prepare meeting rooms.

We're looking for an organised and proactive Data Administratorto join the HMP Hindley service. This is an exciting opportunity to play a vital role in supporting the safe delivery of psychosocial services, working closely with recovery teams and Prison Staff.

Responsibilities

About the Role:

  • As first point of contact within the service, to ensure that visits from external visitors are escorted into and outside of the establishment.
  • First point of contact for all telephone calls into the service, dealt with promptly and courteously, transferring calls to appropriate personnel when necessary.
  • Taking and conveying confidential, accurate and sensitive information to staff.
  • Processing of correspondence in and out of the prison post room.
  • Minute taking at service meetings.
  • Maintaining and recording statistics of people in service; assist with data entry as required, NDTMS, SystmOne, and clinical specific data.
  • Assist with the setting up and maintaining of accurate filing systems within the service.
  • Monitoring and ordering office stationery/requirements.
  • Photocopying as required.
  • Assist with development and maintenance of efficient, record-keeping and communication systems within the service.
  • Assist with generating controlled drugs prescriptions for release using the SystmOne case management system.
  • Booking and preparing meeting rooms.

About you:

  • Knowledge and experience of general office procedure and administrative duties
  • IT literacy including proficiency in data collection systems (eg. NDTMS, Public health
  • Expertise in working with WORD, EXCEL, and ACCESS IT packages
  • Experience of maintaining data bases and other data management systems
  • Show a capacity to work alone and the ability to keep calm under pressure
  • Employ an empathetic and non-judgmental attitude towards service users
