Job summary

NHS Professionals is currently seeking an Administration Officer at Sheffield Teaching Hospitals NHS Foundation Trust. The role is a temporary, full-time position from now until December 2026, based in a hospital setting with standard Mon-Fri hours totaling 37.5 hours per week.

You will support patient appointment coordination and communications, within a busy NHS contact centre. Ideal candidates will have prior patient/customer interaction experience and proficiency with Microsoft Office.

Qualifications

  • Experience speaking to patients or customers.
  • Experience speaking face to face and over the phone.
  • Experience using Microsoft Office.

Responsibilities

  • Contact patients by letter or telephone to confirm and book appointments and transport.
  • Receive and manage calls via a busy contact centre and relay messages accurately.
  • Ensure outgoing patient correspondence is accurate and timely.
  • Handle telephone inquiries, mail and email promptly.
  • Process referrals from various sources accurately and quickly.

Hours: Monday - Friday 4 longer days 8am-6pm with day off in week. 37.5hrs per week

Trust Location: Northern General Hospital - Herries Road, Sheffield, South Yorkshire, S5 7AU


Contract Type: Temporary until December 2026

What you ll be responsible for:

  • Be responsible for contacting patients by letter and/or telephone to confirm and book appointments and hospital transport arrangements, adhering to the Trust policy concerning patient confidentiality.
  • Receive and make telephone calls via the busy contact centre. Divert calls and take messages, ensuring accuracy of detail and prompt delivery.
  • Ensure all outgoing patient correspondence is accurate and sent in a timely manner.
  • Deal with telephone enquiries, mail/ email promptly and efficiently.
  • Process incoming referrals from various sources accurately and in a timely manner.

You ll learn the following whilst working at the trust.

  • An in depth understanding of the roles and responsibilities involved in working within the NHS
  • Knowledge of the systems used, to effectively complete your role to the highest standard at all times
  • A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation

You ll have the following skills/experience:

  • Previous experience of speaking to patients/customers both face to face and over the phone.
  • Previous experience of using Microsoft.
