Hours: 37.5 hours per week
Working Pattern: 37.5 hours per week, Mon - Fri, 09:00 to 17:00 with a 30 min unpaid break
Duration: 4 Weeks
The post holder will be responsible for providing effective and efficient clerical and administrative support to teams of healthcare professionals, as part of an integrated admin service across the Cluster. The role will involve a high level of organisational skills and excellent working knowledge of administrative procedures and IT systems used within the Trust. The post holder could be the first point of contact for the services and therefore requires clear communication and liaison skills. They will be responsible for managing and prioritising their own workload and will be required to use their own initiative.
To work as a member across the cluster administrative team providing extensive secretarial and administrative support to the to the team and be responsible for the effective management and efficient working of non-clinical aspects of the Service in accordance with all Trust policies and procedures.
The post holder will work with a high level of independence in their work. They will resolve and respond to incoming communication, seeking advice where necessary and will be expected to use high levels of independent judgement and responsibility.
Set and maintain a high standard in all aspects of administrative work ensuring good communications systems within the cluster and across all departments and partner agencies, always ensuring strict confidentiality.
To be responsible for administering and supervising the maintenance of statistical information using an appropriate cluster information system spreadsheet, database or identified Trust information system such as SBS, Patient Centre, E Care Logic, SystmOne and PARIS (do we need examples) ensuring that all information is completed within deadlines where appropriate.
To organise and assist with the day-to-day administrative duties within the cluster.
To plan, negotiate and allocate incoming jobs to appropriate team members across the cluster.
To systematically review service data/registers and collect updates from appropriate service areas.
Ensure suitable communications systems are in place and actioned.
To answer incoming calls and help resolve any service enquiries.
To be responsible for assisting with the co-ordination of all aspects of clinical staffing across the Cluster on a day-to-day basis.
To provide support with appropriate service or Cluster improvement projects through stages of designing, planning, and implementation.
Maintenance of files/records/databases and any relevant documentation.
Answering the telephone and dealing with enquires on behalf of the senior management team.
Maintenance of reports, spreadsheets, website content and correspondence using Microsoft Office packages including Word, Excel and PowerPoint or bespoke software/databases.
Provision of general housekeeping duties such as reporting faults with office equipment and/or chasing up departments as necessary.
Undertake any duties commensurate with the post.
To respect confidentiality for work undertaken and can use initiative, work with minimum supervision to meet deadlines and maintain a flexible approach to all aspects of the role.
To contribute to effective and efficient teamwork in the delivery of care to all clients with a wide variety of clinical conditions and social circumstances.
To update client records, liaise with other internal and external departments, collate accurate details, and ensure these are recorded appropriately.
