Job description

Elite Personnel are delighted to be supporting our client, a well-established and values-driven organisation based in Sutton Coldfield, in their search for an experienced Administration Manager. Working over 3 full days per week Tuesday Wednesday and Thursday This is a pivotal position at the heart of the organisation's operations and governance - ideal for an experienced professional who enjoys taking ownership, thrives on organisation, and excels in a varied and responsible role. Reporting directly to the Chief Executive, you will oversee governance processes, policy development, administrative systems, event coordination, and the day-to-day running of operations. You'll also provide support to the senior leadership team and line manage a small administrative function.

Governance & Board Support
  • Manage all aspects of board and committee administration, ensuring efficient, compliant, and well-organised meetings.
  • Prepare and distribute agendas, papers, and reports; record accurate minutes and track actions.
  • Maintain a forward calendar of governance meetings and ensure all procedures are properly followed.
  • Coordinate governance reviews, policies, and improvement plans.
  • Lead on compliance areas including Data Protection (GDPR) and office Health & Safety.
  • Event organising and attending
Executive & Trustee Support
  • Oversee recruitment, induction, and ongoing management of trustees and senior stakeholders.
  • Maintain accurate records of appointments, terms of office, and attendance.
  • Support the Chief Executive and Chair with trustee engagement and development activities.
Operations & Administration
  • Line manage and support the Administrator, monitoring performance and ensuring smooth office operations.
  • Oversee office systems, processes, and workload planning.
  • Coordinate recruitment and onboarding of new staff where required.
  • Manage the Chief Executive's diary and schedule internal team meetings.
  • Management of one member of staff
Grants, IT & Website
  • Oversee a small community grants process, ensuring applications are reviewed, processed, and payments prepared efficiently.
  • Liaise with external suppliers and partners regarding system or process improvements.
  • Keep website content accurate and up to date, including news, events, and key information.
  • Work with IT providers to ensure systems, assets, and records are maintained effectively.
Events & Communications
  • Plan and deliver internal and external events such as strategy days, board meetings, and team functions.
  • Manage logistics, catering, and communication to ensure events run smoothly.
  • Support production of organisational publications, newsletters, and annual updates.
  • Collaborate with communications consultants to develop engaging digital and print materials.
Required Qualifications
  • Strong background in administration, governance, or senior-level executive support.
  • Experience coordinating board or senior team meetings.
  • Excellent written and verbal communication, including report writing and minute taking.
  • Proven ability to manage multiple projects and deadlines.
  • Confident IT user (Microsoft Office and digital platforms).
  • Experience supervising staff or managing small teams.
  • Knowledge of GDPR and Health & Safety responsibilities.
  • Event planning and coordination experience.
Desirable Qualifications
  • Previous experience within education, not-for-profit, or public sector organisations.
  • Excellent IT skills including Excel and Board Effect would be advantageous
  • Understanding of governance processes and compliance frameworks.
  • Experience with community or funding programmes.
  • Confident working with suppliers, consultants, or IT partners.
