Ashton Recruitment Ltd. is recruiting an Administration Assistant for a well-established client based in Belfast.

Location: Belfast; Hours: Mon-Fri, 8:00am-4:00pm; Contract: Full-Time, Permanent; Salary: Competitive. Working as part of the Operations Team, you will provide day-to-day support to the Office Manager, handle administration, data management and customer service, and act as a key point of contact with customers and stakeholders.

Qualifications

  • 2+ years of administration experience in a busy environment.
  • Strong knowledge of the Microsoft Office Suite (Word, Outlook, Excel).
  • Confidence using Excel to manage data, maintain spreadsheets and produce reports.

Responsibilities

  • Act as a key point of contact for customers, colleagues and external stakeholders, ensuring professional communication.
  • Answer incoming calls and respond to general enquiries with information or route queries appropriately.
  • Provide day-to-day administrative support to the Office Manager and Operations Team.
  • Prepare, update and maintain business documents, records and reports.
  • Carry out accurate data entry and keep internal systems up to date.
  • Use Excel to maintain data and assist with operational reports.
  • Support the operations team with admin tasks related to ongoing work and enquiries.
  • Assist with transition and maintenance of administrative information in digital systems.
  • Ensure proper filing and easy retrieval of documents.
  • Liaise with departments to obtain information and progress tasks.

Ashton Recruitment is recruiting an Administration Assistant on behalf of a well-established and growing client based in Belfast.

Administration Assistant

Location: Belfast
Hours: Monday-Friday, 8:00am-4:00pm
Contract: Full-Time, Permanent
Salary: Competitive

Working as part of the Operations Team, you will provide day-to-day support to the Office Manager and wider business, helping to ensure the smooth and efficient running of a busy operational environment.

This is a varied position combining administration, customer service, data management and operational support. You will act as one of the key points of contact within the business, dealing with customers, colleagues and other stakeholders while ensuring enquiries and administrative tasks are handled professionally and efficiently.

The successful candidate will be highly organised, confident communicating with people at all levels and comfortable working with data and Microsoft Excel.

Key Responsibilities
  • Act as a key point of contact for customers, colleagues and external stakeholders, ensuring all communication is professional, helpful and represents the business positively.
  • Answer incoming telephone calls and respond to general enquiries, providing information and support where possible or directing queries to the appropriate person.
  • Provide day-to-day administrative support to the Office Manager and wider Operations Team.
  • Prepare, update and maintain business documentation, records and reports.
  • Complete accurate data entry and ensure information held on internal systems and spreadsheets remains up to date.
  • Use Microsoft Excel to maintain information, organise data and assist with the preparation of operational reports.
  • Support the wider operations team with administrative requirements relating to ongoing work and customer enquiries.
  • Assist with the transition and maintenance of administrative information and records within digital systems.
  • Ensure documentation is filed and stored accurately and can be easily retrieved when required.
  • Liaise with different departments to obtain information and ensure administrative tasks are progressed efficiently.
  • Assist with general office administration and ad hoc tasks as required.
  • Manage competing priorities while maintaining a high level of accuracy and attention to detail.
  • Work collaboratively with colleagues and contribute to a positive and supportive working environment.
  • Demonstrate the company's core values through day-to-day interactions with customers, colleagues and stakeholders.
The successful candidate will ideally have:
  • A minimum of 2 years' administration experience within a busy working environment.
  • Strong working knowledge of the Microsoft Office Suite, including Word, Outlook and particularly Microsoft Excel.
  • Confidence using Excel to manage data, maintain spreadsheets and produce reports.
  • Strong administrative and organisational skills.
  • Excellent attention to detail and a commitment to maintaining accurate records.
  • Excellent verbal and written communication skills.
  • A confident and professional telephone manner.
  • The ability to communicate effectively face-to-face with customers, colleagues and external stakeholders.
  • Previous experience handling customer or general business enquiries.
  • The ability to prioritise a varied workload and work effectively within a fast-paced environment.
  • A proactive approach and willingness to support different areas of the business when required.
  • Strong teamwork skills and a collaborative approach to work.
  • A professional, friendly and approachable manner.
