About the Role

As a CBRE Receptionist, you will be an important part of our Workplace Experience team. You will be based at our client’s office in the heart of Helsinki. We have a small Office team where we all have our own responsibilities but we are always helping each other when needed. Your main responsibility is to ensure that our reception runs smoothly and that our employees, clients, and visitors receive a warm and professional welcome.

Your everyday work will include greeting visitors, answering calls and emails, preparing coffee, supporting meeting arrangements, and taking care of various reception-related tasks.

We value someone who takes initiative, is comfortable taking responsibility, and is eager to develop our reception and workplace experience. If you see something that could work better, we want you to speak up and make it happen.

Trust and reliability are especially important in this role.

What You’ll Do
  • Welcome and assist clients, applicants, and visitors and make a warm atmosphere for everyone.
  • Manage visitor registration, passes, and follow relevant security protocols.
  • Answer incoming calls and emails and direct enquiries to the right people.
  • Prepare and maintain the reception area, including coffee and snacks.
  • Manage and maintain office key and access-related matters. This will be your own responsibility.
  • Track incoming and outgoing packages, mail, and freight.
  • Support meeting room setups, catering, and internal and external events.
  • Communicate with cleaning, maintenance and other service providers to ensure the office runs smoothly.
  • Identify maintenance issues and follow them through to resolution.
  • Place orders and manage office supplies and other day-to-day needs.
  • Support internal communication via Slack and other channels.
  • Bring forward ideas and suggestions for improving our reception and whole office.
  • Take ownership of agreed tasks and follow them through from start to finish.
  • Occasionally cover for the Executive Assistant, e.g. during holidays.

The position will start on1 September 2026 or by agreement.
