Position Summary

We are seeking a proactive, highly organised, and detail-oriented HR Assistant to support the day-to-day operations of the Human Resources function in Finland. The HR Assistant plays a key role in ensuring efficient administration of HR processes across the employee lifecycle while supporting employees, managers, project teams, and finance stakeholders.

The successful candidate will provide administrative support in recruitment, onboarding, HR documentation, payroll coordination, employee data management, benefits administration, and compliance activities. This role requires excellent organisational skills, a strong customer-service mindset, and the ability to handle confidential information with discretion.

Key Responsibilities
HR Administration
  • Prepare, maintain, and manage HR documentation, including:
  • Employment contracts
  • Contract amendments
  • Secondment agreements
  • Employment certificates
  • Salary adjustment letters
  • Other employee-related documentation
  • Maintain employee files and personnel records in compliance with applicable employment legislation and GDPR requirements.
  • Ensure employee information is accurately maintained within Workday and other HR systems.
  • Support HR reporting and personnel data management.
  • Maintain HR trackers and other administrative records
Onboarding new employees
  • Coordinate onboarding activities and ensure completion of required employment documentation.
  • Coordinate new employee inductions and orientation activities.
  • Support offboarding processes and ensure appropriate documentation and system updates are completed.
Employee Lifecycle Support
  • Provide administrative support for employee movements, including:
  • Role changes
  • Transfers
  • Secondments
  • Salary changes
  • Organisational updates
  • Support the administration of employee leave, absence management, and related reporting.
  • Act as a first point of contact for routine HR inquiries.
Compliance & Site Access Administration
  • Support compliance processes relating to employee documentation and workforce administration.
  • Assist with ID06 administration and Valtti card applications as required for project operations.
Continuous Improvement & Projects
  • Participate in the development and improvement of HR processes, procedures, and systems.
  • Support HR projects and change initiatives as required.
  • Assist with ad hoc HR and administrative tasks to support business operations and project delivery.
Qualifications
Education
  • Bachelor's degree, vocational qualification, or equivalent education in Human Resources, Business Administration, or a related field.
  • Can-to attitude counts more than educational qualifications.
Experience
  • 1 to 3 years of experience in HR administration, payroll support, office administration, or a similar role.
