Weaver Vale Housing Trust is seeking a Governance Co-ordinator to join our governance team on a permanent, full-time basis. Based at Gadbrook Point, Northwich, with hybrid working and occasional in-office attendance for meetings, induction and training, you will support high-level governance activities and ensure meetings run smoothly.

Job Title: Governance Co-ordinator (Permanent)

Hours:37 hours per week, to be worked flexibly in line with business needs

Salary: £30,500 per annum, plus Casual User Mileage allowance

Location:Based at Gadbrook Park, Northwich

Flexibility to work from a variety of places including our office at Gadbrook Park, Northwich and home (dependent on the job role and the needs of our customer, our organisation and our teams). This role is a mix of office based and remote working. There will be a requirement to be in the office to attend meetings/induction and training as required. It is essential to be able to work outside of core hours to attend Board and Committee meetings.

We are seeking a highly organised, proactive and detail focussed Governance Coordinator to join our Governance Team on a permanent basis. Based at Gadbrook Point, Northwich, this full-time position (37 hours per week) offers an exciting opportunity to play a key role in supporting the effective operation of the Trust's governance framework.

Working closely with the Governance Manager and Governance & Assurance Officer, the successful candidate will provide high-quality administrative and governance support, including coordinating meetings, preparing agendas and meeting papers, managing the Board portal, attending meetings, producing minutes and action logs, and tracking actions to ensure timely completion. This support will extend across the Board, Chief Executive, Executive Leadership Team (ELT), Senior Leadership Team (SLT) and Governance Team.

The role is integral to ensuring governance activities are well organised and effectively planned, information is accurate and managed effectively to ensure key corporate processes run smoothly and efficiently.

We are looking for someone with experience in an administrative, coordination or business support role, ideally within a corporate, governance or regulated environment. You will be confident working with senior stakeholders, managing multiple priorities and handling sensitive information with professionalism and discretion.

This is an excellent opportunity for someone with strong organisational skills, exceptional attention to detail and a proactive approach, who can contribute to the delivery of an effective and professional governance service across the Trust.

What Will You Do?
  • Provide high-quality administrative and coordination support to the Board, Chief Executive, Executive Leadership Team (ELT), Senior Leadership Team (SLT) and the Governance Team.
  • Coordinate meetings, diaries, travel, conferences and training arrangements, ensuring activities run smoothly and efficiently.
  • Prepare, format and publish agendas, reports and meeting packs through a Board portal.
  • Attend meetings and forums to produce accurate minutes, maintain action logs and support the timely follow-up of agreed actions.
  • Administer and maintain the Board portal, providing support and guidance to users.
  • Manage governance records, documentation and filing systems, ensuring information is accurate, accessible and compliant with data protection requirements.
  • Act as a first point of contact for governance and administration enquiries, providing responsive support to colleagues and stakeholders.
  • Contribute to the continuous improvement of governance processes, systems and service delivery across the Trust.
Requirements & Skills for the Role
  • Experience of providing administrative, business support services or co-ordination in a corporate environment.
  • A good standard of education – 5 Grade GCSE 4-9/A*-C, including English and Maths) or equivalent level of qualification.
  • Experience organising meetings, events, diaries and travel arrangements.
  • Experience preparing and managing documents, reports and meeting information.
  • Ability to produce accurate minutes and maintain action logs from meetings.
  • Strong organisational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills with strong attention to detail and accuracy.
  • Ability to build positive working relationships with colleagues, senior leaders, Board Members and external stakeholders.
  • Professional and discreet approach when handling confidential and sensitive information.
  • Strong customer service skills and a proactive, flexible approach to work.
  • Proficiency in Microsoft 365 applications including Outlook, Word, Excel, PowerPoint, Teams and SharePoint.
  • Experience supporting Boards, Committees, senior leadership teams, or using Board portals would be advantageous.
  • Experience within the housing sector or another regulated environment would be beneficial.

Additionally, due to the flexible working arrangements with this role, you will need access to a room where you can work from and a suitable internet connection.
