We are currently looking for an Office Administration Coordinator (w/m/d) to join our Munich team. In this role, you will supervise all office and administrative activities, including pool car management, travel coordination, office supplies, office maintenance, and the organization of company events.
Start Date: April 2026
This is a fixed-term position for one year, covering maternity leave.
In this role, you are expected to be responsible for:
- Admin Budget plan
- Monthly, quarterly and yearly admin department expense statistic and analysis
- Admin process optimization and cost down
- Event organization such as Christmas party, Octoberfest and Chinese new year, dragon boat festival …etc and other out-going events
- Company pool car management, including contracts, schedule, maintenance, repairing etc.
- Travel management: booking the train and flight ticket, hotel, rental car
- Process daily incoming and outgoing mail
- Provide general support for office including general filing, and office supply ordering
- Manage the cleaning staff and guide their work to keep the whole office clean and tidy
- Maintain coffee machine and dishwasher daily
- Create and order business cards for staff
- Company apartment management: contract, move in and move out arrangement
- Other Office Admin related tasks
Following qualifications and abilities are expected for this role:
- Language: Excellent English & German in written and verbal, Chinese language skills is a plus
- Working experience: at least 2-3 years , related work experiences preferred
- Work independently and as part of a collaborative team
- Ability to work on multiple tasks simultaneously
- Requires strong interpersonal, communication, motivational skills
- Self-directed individual who will meet deadlines and attention to details
- Keen on accurate working, to the point
- Driving license is a must
