NEURA Robotics is seeking an Executive Assistant to support the CEO with calendar management, travel coordination, meeting prep, and cross-functional liaison work. The role requires discretion, strong organizational skills, and fluency in English and German.
You will manage complex schedules, screen communications, and organize executive events while collaborating with heads of departments. This position is ideal for a proactive, hands-on professional in a fast-scaling robotics company.
At NEURA Robotics, our CEO moves fast across strategy, investor relations, product vision, and global partnerships. We're looking for a highly organized, discreet, and proactive Executive Assistant to keep pace with that momentum — someone who can anticipate needs, manage complexity, and act as a trusted right hand at the center of a fast-scaling robotics company.
Calendar & time management: Own the CEO's calendar end-to-end, proactively resolving conflicts and prioritizing what matters most across a demanding, fast-changing schedule.
Travel coordination: Plan and manage complex domestic and international travel itineraries, anticipating logistics before they become problems.
Meeting preparation: Prepare briefing materials, agendas, and follow-ups for board meetings, investor calls, and executive leadership sessions.
Communication gatekeeping: Screen and prioritize incoming correspondence, emails, and requests, ensuring the CEO's attention goes where it's needed most.
Cross-functional coordination: Act as a liaison between the CEO's office and department heads, tracking action items and following up to ensure deadlines are met.
Confidential document handling: Manage sensitive business, legal, and strategic documents with the highest level of discretion and confidentiality.
Event & offsite planning: Organize executive offsites, leadership meetings, and high-profile external engagements.
Ad hoc project support: Step into special projects and initiatives as needed, bringing structure to ambiguous or fast-moving situations.
Experience: Several years of experience as an Executive Assistant, Chief of Staff, or similar role supporting C-level executives, ideally in a startup or scale-up environment.
Discretion: Proven ability to handle highly confidential information with judgment and integrity.
Organization: Exceptional organizational skills with the ability to juggle competing priorities without dropping the ball.
Communication: Excellent written and verbal communication skills in English and German.
Composure: A calm, solutions-oriented approach when things move fast or plans change last minute.
Tech-savviness: Confident with modern productivity and collaboration tools (e.g., Microsoft Workspace, Teams, calendar and travel management tools).
Mindset: A hands-on, no-task-too-small attitude paired with the judgment to operate at an executive level.
