Responsibilities
  • Organizational and Administrative Support
  • Provide qualified support to the CEO in carrying out strategic and operational tasks
  • Independent organization, coordination, and follow-up of appointments, meetings, business trips, and events
  • Preparation of presentations, reports, and minutes
  • Handling correspondence in German and, if required, in English
  • Management of filing systems and confidential documents
  • Hosting visitors and external partners as directed by the CEO
  • Communication and Interface Function
  • Competent forwarding of the CEO’s decisions to relevant business areas
  • Maintenance and management of contacts (Outlook), as well as processing mail and emails
  • Acting as an interface between the CEO and specialist departments to ensure smooth information flow
  • Travel and Event Management for the Schwelm Site
  • Organization and booking of business trips (including visa applications)
  • Management and verification of travel documents
  • Review and settlement of travel expenses
  • Contract and Document Management
  • Supervision and maintenance of contract management
  • Administration of company-relevant documents, including invoice control
  • Special Projects and Internal Services
  • Design and ordering of promotional gifts in cooperation with the marketing department
  • Preparation and processing of commission statements
  • Planning and coordination of internal company events (e.g., summer party and Christmas celebration)
Qualifications
  • Completed commercial training or a comparable qualification
  • Several years of professional experience in a similar role, ideally in an international environment
  • Strong organizational skills, discretion, and excellent communication abilities
  • Proficient in MS Office and modern communication tools
  • Very good command of German; good English skills are an advantage
