Job summary

GoLean Health is seeking a Patient Care Communications Specialist for our chiropractic clinic in Bogotá. The role is the first point of contact with patients via phone, text, email, and scheduling tools, delivering a warm, calm, and professional experience.

You will handle high-volume communications, schedule and confirm appointments, follow up with inactive patients, and maintain accurate records. The position requires empathy, organization, and sound judgment in a fast-paced setting.

Qualifications

• Excellent spoken English with a neutral accent.
• Strong written communication for SMS, email, and patient messages.
• Experience as Virtual Medical Assistant, Medical Receptionist, Patient Communication Specialist, Front Desk Coordinator, or similar healthcare support role.
• Comfortable handling high call volume in a fast-paced clinic.
• Strong patient service mindset, emotional intelligence, and common sense.
• Able to multitask across calls, texts, emails, voicemails, faxes, and scheduling tasks.
• Must own a Mac OS device and reliable wired internet (LAN).
• Must be flexible with schedule and willing to work Saturdays.

Responsibilities

• Answer high-volume inbound patient calls professionally and promptly.
• Respond to patient texts, voicemails, emails, and fax-related messages in a timely and accurate manner.
• Schedule new patient appointments and collect intake information; manage existing appointments in MacPractice.
• Prioritize new patient inquiries and referral opportunities.
• Conduct follow-up and reactivation outreach for inactive or lapsed patients and convert inquiries into bookings.
• Maintain accurate patient records and scheduling notes.
• Coordinate with in-office staff to keep the provider schedule full.
• De-escalate scheduling, billing, insurance questions, or frustrations with empathy.
• Know when to listen, gather details, offer a callback, and avoid overloading patients.
• Support missed-call follow-up workflows and HIPAA-compliant communications.
• Protect patient privacy and follow HIPAA standards at all times.
