OVERVIEW

The Administrator, Post Collection Operations role will be responsible for optimizing the daily activities within the operations team to attain effectiveness and efficiency. This includes but is not limited to assisting with managing operational email boxes, documentation, scheduling, supporting presentations and meetings.

RESPONSIBILITIES
  • Work with key stakeholders to provide support to the completion of tasks and activities that drive day-to-day operations.
  • Attend meetings and document minutes and action items; follow up and close out all actions.
  • Support scheduling of meetings and associated administration.
  • Oversee, communicate and update Project Management timelines, using Jira, with the Post Collection Operations Team to ensure projects are delivered on time.
  • Identify best practices across operations to gain a more streamlined approach to the completion of day-to-day activities that drive operations.
  • Enhance coordination between various departments to enhance efficiency and ensure optimal work production in the organization.
  • Give recommendations, suggestions, and ideas that can be implemented to transform and improve operations within the organization.
  • Manage files, informational resources, and databases on SharePoint for various Supply Chain Operations team activities and projects.
  • Coordinate document management for the team, liaising with other teams (National, Procurement, PMO, etc.) on document and folder management as required.
  • Ensure training materials are documented and available to support new staff onboarding within Operations.
  • Data review, analysis, and consolidation.
  • Perform miscellaneous job-related duties as assigned.
  • Provide support to other teams within department as assigned.
  • Research industry related content as assigned.
QUALIFICATIONS
Education
  • Bachelor’s degree or College Diploma in business administration preferred.
Experience
  • 3+ years’ experience in process improvement or operational efficiency capacity.
  • Knowledge of waste management, materials management and/or logistics is an asset.
Knowledge/Competencies/Skills
  • Excellent organizational skills, time management skills and the ability to pivot to ever-changing priorities.
  • Analytical, conceptual, problem solving and research skills to manage multiple initiatives and tasks of varying complexity, in accordance with deadlines and shifting priorities.
  • Proficient in Microsoft 365 applications including Visio, SharePoint, Teams, Excel, PowerPoint and Jira.
  • Ability to work under pressure with minimal supervision.
  • Detail-oriented with strong communication skills, both oral and written.
  • Experience working in a complex, multifaceted environment with several stakeholders.
  • Excellent attention to detail, analytical, problem solving, planning, and execution skills.
  • Effective communication skills that build relationships at all levels in the CM organizational structure.
WORKING CONDITIONS
  • All CM employees work 40 hours per week, remotely from a home office environment.
  • Flexibility is required to provide for working across multiple Canadian time zones and extended working hours to meet deadlines.
  • Remote working environment with the ability to travel as needed.
