Job summary

Surerus Murphy Joint Venture seeks a Subcontract Administrator to support subcontract development for pipeline and facilities construction. You will track proposals, manage deliverables, and ensure compliance with prime contracts while coordinating vendor screening and invoice approvals.

Based in Calgary, this permanent role reports to the Director of Procurement. Core hours are 8:00 am–5:00 pm, with periodic site travel as needed.

Qualifications

  • Post-secondary education in business, supply chain, estimating or related field is required.
  • Experience in a similar role is acceptable in lieu of formal qualifications.
  • Experience in sales or purchasing is an asset.

Responsibilities

  • Support development and tracking of subcontract proposals and deliverables.
  • Ensure subcontract terms and conditions align with prime contracts.
  • Assess vendors for project fit and standards.
  • Source and shortlist suitable companies for construction activities.
  • Adhere to company policies and procedures.
  • Perform vendor health checks and manage performance.
  • Assist in debriefing unsuccessful respondents.
  • Certify and approve subcontractor invoices per procedures.
  • Complete performance assessments before contract closeouts.

Job description

ROLE
The Subcontract Administrator is responsible for administering and supporting the development of subcontracts for pipeline and/or facilities construction. This position ensures that sourcing events are support and payments are arranged and sent to the appropriate signing authorities. Strong administration is required to provide timely and accurate management of the subcontracting process.

KEY RESPONSIBILITIES
  • Supporting the development of subcontract proposals, including issuance, tracking, management of deliverables and assist in the review of proposals
  • Ensuring subcontractor specifications, terms, and conditions are tracked and managed to support accurate contracts in line with prime contract requirements
  • Supporting the Assessment of vendors to ensure that work performed will be in accordance with project standards and needs
  • Administering tasks associated with sourcing appropriate and recognized companies to carry out construction activities
  • Ensure that all company policies and procedures are adhered to
  • Perform vendor health checks to proactively manage vendor performance.
  • Participate in unsuccessful respondent debriefing.
  • Ensure subcontractor invoices are in compliance with established procedures and certify / approve them to company procedures.
  • Ensure all contractual obligations are met, complete performance assessments prior to contract closeouts.

Note: In addition to these duties personnel are required to carry out such other duties as may be reasonably required in order to support the objectives of the company.

POSITION REQUIREMENTS
Qualifications
  • Post-secondary education or certificate in business, supply chain, estimating, or related field. Prior experience in a similar role may be acceptable in lieu of these qualification requirements.
Experience
  • Experience in sales or purchasing would be an asset.
  • 2-4 years’ experience in supply chain, purchasing, estimating, contract administration or law.
  • 1-2 years’ experience in contracts management.
Skills and Knowledge
  • Strong attention to detail.
  • Some understanding of construction contracts and subcontracts.
  • Ability to be proactive and look toward future project needs.
  • Ability to plan and schedule multiple sourcing events
  • Ability to manage multiple contracts and ensure that conditions are met.
  • Proficiency in the Microsoft Office Suite.
WORKING CONDITIONS

This position is based in the downtown Calgary office. The working hours 8:00 am to 5:00 pm, Monday to Friday. Periodic travel to site, may be required.

REPORTING RELATIONSHIPS

The Subcontract Administrator reports to the Director of Procurement.
