Job summary

Pomerleau is seeking a subcontract administrator to prepare, review for compliance, and issue subcontracts for construction projects across Canada. The role ensures documentation is complete and validated, and supports continuous improvement of contract processes.

The role requires a DEC in a related field and 2–5 years in administration, contract administration, or compliance, with strong MS Office and contract software skills. Hybrid work model noted.

Qualifications

  • Hold a College Diploma (DEC) in Business Administration, Paralegal Technology, Accounting, Project Management, or a related field.
  • Have 2 to 5 years of experience in an administrative, contract administration, or compliance-related role.
  • Demonstrate excellent proficiency in Microsoft Office Suite and contract management software (CMiC, Textura, etc.).
  • Demonstrate a strong attention to detail, thoroughness, and accuracy.
  • Possess strong organizational skills and the ability to manage multiple files and priorities simultaneously.
  • Demonstrate sound judgment and a strong commitment to confidentiality.
  • Possess strong communication skills and a customer-service-oriented approach when working with internal stakeholders.
  • Knowledge of the construction industry and contractual documentation is considered an asset.
  • Ability to work effectively in a fast-paced environment with tight deadlines.

Responsibilities

  • Generate subcontracts using established templates and processes.
  • Review contractual documentation for compliance prior to issuance.
  • Review and validate the required administrative and legal documentation provided by subcontractors.
  • Ensure the collection, compilation, and maintenance of compliance documentation, including licences, insurance certificates, bonds, tax compliance certificates, and other required documents.
  • Validate the accuracy of subcontractor and contract information prior to approval.
  • Collaborate with project teams and other functions to ensure contract files are complete and compliant.
  • Contribute to the continuous improvement of processes and tools related to subcontract administration.

Reporting to the Coordinator, the incumbent is responsible for preparing, reviewing for compliance, and issuing subcontracts for construction projects across Canada.
