Job summary

YMCA Calgary is seeking a School Bookings Coordinator to drive space sales, coordinate bookings, and manage customer inquiries with a strong focus on service excellence. The role supports rental processes, rate reviews, and collaboration with schools and internal teams to ensure smooth operations.

The successful candidate will bring 1+ year experience in accounting or office administration, solid Excel/Word skills, and strong communication abilities.

Qualifications

  • Minimum of 1 year of experience in accounting procedures and office administration.
  • Competent computer skills including Word and Excel and ability to learn new systems quickly.
  • Excellent communication and problem-solving skills.
  • Able to multi-task and demonstrate strong time-management skills.
  • Current Standard First Aid with CPR-C certificated within the last 12 months from an approved AB OHS provider.
  • Evidence of a clear Police Information Check and Vulnerable Sector Search.
  • Three professional references.

Responsibilities

  • Sell facility spaces for school bookings and facilitate booking processes (market/sell, accept bookings, communications, invoicing and collections).
  • Assist with review and establishment of rental rates, conflict resolution and special events criteria.
  • Liaise with schools and internal stakeholders.
  • Use conflict resolution and problem-solving skills with user groups, space, times and facility usage.
  • Provide exceptional customer service by handling inquiries, requests and complaints.
  • Communicate YMCA services and promote facility bookings.
  • Maintain knowledge of facility layout, program offerings, and event schedules.

  • A thorough understanding of various aspects of business including strong knowledge of the facility layout, program offerings, public and all other event schedules, and emergency procedure
