Job summary

Zohorecruit is seeking a Project Coordinator in Ottawa to orchestrate project activities on-site with general contractors and clients. You will manage budgets, track hours, and maintain timelines in Zoho Projects while coordinating across the project team.

Qualifications

• Experience in project management or coordination, preferably in technology or construction.
• Ability to lead meetings with senior stakeholders and general contractors, and defend positions when scope or timelines change.
• Strong written communication with external clients.
• Proficient with project management software; Zoho Projects is a plus.
• Comfort using AI tools to streamline reporting and documentation; eager to improve processes.

Responsibilities

• Act as the primary liaison between general contractors, clients, and the ZLW project team
• Lead and participate in meetings with senior stakeholders, including on-site client meetings
• Own project budgets end to end: track spending against forecast, flag scope changes and overruns early, and keep the numbers current in Zoho Projects
• Build time-tracking reports from the project team's logged hours, and reconcile them against project financials to assess profitability
• Maintain and update tasks, timelines, and documentation in Zoho Projects
• Coordinate resources and scheduling across the project team
• Work with the other project coordinators to make sure equipment and deliveries arrive on site on schedule
• Track action items after meetings and follow through to completion
• Surface risks and delays before they become problems
