Job summary

Battlefield Equipment Rentals in Barrie, ON is seeking a Parts Coordinator on a contract, co-op basis to support our service team and keep equipment running.

You’ll act as liaison between customers, technicians and internal teams, prepare quotes, create and manage work orders, and track parts to ensure timely repairs. Proficiency in Microsoft Office and a basic understanding of CAT equipment are assets; on-call Saturday flexibility is welcome in a team-focused, safety-conscious workplace.

Qualifications

• Proficient with Microsoft Office and strong organizational skills.
• Familiarity with parts ordering, work orders, inventory and estimates.
• Excellent communication and customer service abilities.
• Ability to work well in a team and handle multiple priorities.
• Self-motivated with strong time-management skills.
• Attention to detail and accuracy in documentation.
• Experience in a parts, service, or technician-support environment.
• Technical understanding of CAT equipment is an asset.
• Flexible to support on-call schedules, including occasional Saturdays.

Responsibilities

• Deliver exceptional customer service through phone, email, and in person.
• Liaise between customers, technicians, and internal teams for clear communication.
• Prepare and provide repair and service quotes.
• Create and manage work orders; ensure parts are allocated to machines and jobs.
• Order, allocate, and track parts to equipment and orders.
• Monitor outstanding parts orders and follow up as required.
• Run daily reports to support service and parts operations.
• Submit and track warranty claims with accurate records.
• Maintain parts inventory, rental equipment, and saleable goods.
• Oversee the repair process from intake to completion, cross-functional support.
• Provide invoicing and warranty support with accurate pricing/docs.
• Coordinate deliveries and arrange transportation for customers.
• Prepare deliveries for the following day and assist with loading/unloading.
• Open/close the branch and complete daily closing requirements.
• Invoice parts orders and service orders as required.
• Collaborate across departments to ensure timely repairs and service.
• Foster a supportive, efficient team environment.
• Follow safety protocols and environmentally sound practices.
