Job summary

Battlefield Equipment Rentals is seeking a Parts Coordinator for our Barrie, ON location. This contract/co-op role focuses on keeping equipment running, supporting technicians, and informing customers while assisting daily branch operations.

You’ll deliver service via phone, email, and in-person interactions, manage parts and work orders, and ensure accurate quotes and invoicing. On-call flexibility and attention to detail are essential for success.

Qualifications

  • Experience in parts ordering, work orders, purchase orders, inventory and estimates.
  • Proficiency in Microsoft Office (Outlook, Word, Excel). Systematics experience is a plus.
  • Excellent communication and customer service skills; ability to work in a team and juggle priorities.
  • Flexibility to support on-call schedules, including occasional Saturdays.

Responsibilities

  • Deliver exceptional customer service via phone, email and in-person interactions.
  • Serve as the primary liaison between customers, technicians and internal teams for clear communication.
  • Prepare and provide repair and service quotes.
  • Create and manage work orders ensuring accurate parts allocation to machines and jobs.
  • Order, allocate and track parts to equipment and work orders.
  • Monitor outstanding parts orders and follow up as needed.
  • Run daily reports to support service and parts operations.
  • Submit and track warranty claims with accurate records.
  • Maintain parts inventory, rental equipment, and saleable goods; restock and track.

Pay: $21.00 hourly depending on experience

As a key member of the Service team, the Parts Coordinator plays a critical role in keeping equipment running, technicians supported, and customers informed while also contributing to daily branch operations.

What You’ll Be Doing
  • Deliver exceptional customer service through phone, email, and in-person interactions.
  • Act as the primary liaison between customers, technicians, and internal teams to ensure clear communication and timely follow-up.
  • Prepare and provide repair and service quotes.
  • Create and manage work orders for internal and customer equipment ensuring parts are allocated accurately to the appropriate machines and jobs.
  • Order, allocate, and track parts to the appropriate equipment and work orders as needed to support timely repairs.
  • Monitor outstanding parts orders and follow up as required.
  • Run daily reports to support service and parts operations.
  • Submit and track warranty claims while maintaining accurate records within company systems.
  • Monitor and maintain parts inventory, rental equipment, and saleable goods, including restocking shelves and updating tracking tools.
  • Oversee the repair process from intake through completion, working cross-functionally to support efficient service delivery.
  • Provide administrative, invoicing, and warranty support ensuring pricing, information accuracy, and proper documentation.
  • Facilitate customer walk-ins and calls, including sourcing equipment and supplies, coordinating deliveries, and securing transportation.
  • Prepare and ensure all deliveries are organized for the following day.
  • Assist with loading and unloading customer pick-ups and deliveries when required.
  • Open and close the branch as needed and complete daily closing requirements, including invoice checks and fund balancing.
  • Invoice parts orders and service orders as required.
  • Work cross-functionally with other departments to ensure timely repairs and service delivery
  • Collaborate seamlessly with your colleagues to create a supportive and efficient work environment.
  • Follow all workplace safety protocols and environmentally sound practices, making sure everyone stays safe.

What We're Looking For
  • Computer Skills: Proficiency in Microsoft Office (Outlook, Word, and Excel.) Experience with Systematics would be an asset.
  • Parts Knowledge: Familiarity with parts ordering, work orders, purchase orders, inventory and estimates.
