Job summary

Quadient in Markham, Ontario is seeking a detail-oriented Parts Coordinator to support service operations by managing inventory, coordinating orders, and ensuring technicians and customers receive parts promptly.

The ideal candidate will be highly organized, enjoy fast-paced environments, and demonstrate strong communication, problem-solving, and time-management skills. Experience with inventory systems, ERP software, and Microsoft Office is required; forklift certification is a plus.

Qualifications

  • Experience in parts coordination, inventory control, or related fields.
  • Knowledge of ERP systems and MS Office; attention to detail and accuracy.

Responsibilities

  • Receive, process, and track parts orders from customers and technicians.
  • Coordinate with suppliers to source parts and ensure timely delivery.
  • Maintain accurate inventory records and monitor stock levels.
  • Place purchase orders and replenish inventory as needed.
  • Verify shipments and inspect parts for accuracy and condition.
  • Research part availability, pricing, specifications, and alternatives.
  • Prepare invoices, purchase orders, and shipping documents.
  • Coordinate returns, warranties, and exchanges with suppliers.
  • Support service technicians by ensuring required parts are available for scheduled work.
  • Maintain organized and safe parts storage area.
  • Assist with cycle counts and inventories, respond to inquiries promptly.

Job Description

Location: Markham - onsite

We are seeking a detail-oriented and customer-focused Parts Coordinator to join our team in Markham, Ontario. The Parts Coordinator plays a key role in supporting service operations by managing parts inventory, coordinating orders, maintaining accurate records, and ensuring technicians and customers receive the parts they need in a timely manner.

The ideal candidate is highly organized, thrives in a fast-paced environment, and possesses strong communication and problem-solving skills.

Key Responsibilities

  • Receive, process, and track parts orders from customers, technicians, and internal stakeholders.
  • Coordinate with suppliers and vendors to source parts and ensure timely delivery.
  • Maintain accurate inventory records and monitor stock levels.
  • Replenish inventory and place purchase orders as required.
  • Verify incoming shipments and inspect parts for accuracy and condition.
  • Research part availability, pricing, specifications, and alternatives.
  • Prepare and process invoices, purchase orders, and shipping documentation.
  • Coordinate returns, warranties, and core exchanges with suppliers.
  • Support service technicians by ensuring required parts are available for scheduled work.
  • Maintain an organized and safe parts storage area.
  • Assist with cycle counts and inventory audits.
  • Provide exceptional customer service by responding promptly to inquiries and requests.

High school diploma or equivalent; post-secondary education is an asset.2+ years of experience in parts coordination, inventory control, supply chain, logistics, or related industries.Experience using inventory management or ERP systems.Strong computer skills, including Microsoft Office Suite.Excellent organizational and time-management skills.Strong attention to detail and accuracy.Effective verbal and written communication skills.Ability to work independently and collaboratively within a team environment.Forklift certification is considered a plus.Preferred ExperienceExperience supporting field service, automotive, heavy equipment, or industrial operations.Knowledge of inventory management best practices.Familiarity with vendor management and procurement processes.
