Position Summary

The Legislative Services Assistant provides administrative support for various County operations, and performs reception duties at the County Courthouse as the first point of contact. The diverse range of administrative support includes but is not limited to: administrative support for the POA prosecutors, records management, data tracking, calendar support, research, correspondence and various communication publications and website management that contributes to the smooth and efficient operations of the office.

Primary Responsibilities
  • Responsible for maintaining electronic and hardcopy files for the Clerk to ensure daily documents are filed in the data management system.
  • Provides assistance updating the County’s internal and external websites, ensuring County communications are uploaded and maintained.
  • Assist departmental Records Liaisons to comply with adopted records retention schedule and practices which includes file destruction.
  • Assist with providing staff support and training in records management practices.
  • Administrative support for Joint Accessibility Advisory Committee (JAAC) including meeting setup, takes and prepares minutes, assists with technical setup of meetings, review site plans (as required) with Subcommittee.
  • Coordinate accessibility audits and site plan reviews for facilities, programs and services and make recommendations for improvements.
  • Strong technical skills to create, edit, and remediate accessible documents under the Microsoft Office Suite as well as Adobe PDF/Foxit platform.
  • Drafts correspondences, reports, memos documents and policies as directed.
  • Assists with the development and coordination of new Council orientation.
  • Coordinates processing of freedom of Information and privacy requests.
  • Ensure that Occupational Health and Safety practices and County of Perth policies and procedures are adhered to; wear any personal protective equipment required to ensure personal safety and report any known hazards and/or incidents in the workplace to immediate Supervisor.
  • Provide support and act as backup to central reception inclusive of all duties.
  • Perform other related duties as assigned.
Qualifications
  • 2-year college diploma in business students, public administration, law clerk or office administration.
  • Knowledge of municipal government processes.
  • 2 years experience supporting senior level administration.
  • Experience in Electronic Document and Records Management Systems and privacy legislation would be an asset.
  • Experience with The Ontario Municipal Records Management System (TOMRMS) would be an asset.
  • Demonstrated professional and ethical responsibility to protect privacy, use confidential information appropriately, treat sensitive situations with appropriate degree of tact and discretion.
  • Demonstrated customer service and interpersonal skills to maintain cooperative/collaborative working relationships both in and outside of the organization.
  • Excellent time-management skills with the ability to prioritize workload and meet deadlines, and the ability to deal with multiple demands.
  • Excellent organizational and administrative skills with the ability to work independently and in a team environment.
Shift

Monday to Friday, 8:30 am to 4:30 pm (35 hours per week)

Salary Range

$59,823.40-$70,015.40 (based on Perth County’s 2026 salary grid).
