This role is accountable for providing support to the OH Legal Team’s functions, with a focus on employment and labour law, public sector ethics, general legal matters, and day-to-day administrative duties.

Reporting to Senior Legal Counsel, the Specialist, Legal Support will assist with document preparation, case management, and provide essential administrative support, including scheduling, document preparation, file management, and coordination of legal files and proceedings.

Key responsibilities
  • Providing support to the legal team on matters related to employment and labour law, including processing employment-related contracts/templates, litigation management, employee and labour relations file management, and supporting implementation of legal advice; liaising with internal stakeholders (Communications, HR, payroll, etc.) to ensure legal advice is implemented when addressing employee and labour relations matters.
  • Support legal work related to public sector ethics to ensure compliance with contractual and legislative requirements, including tracking and triaging disclosures of wrongdoing, conflicts of interest or political activity under the Public Service of Ontario Act, 2006; supporting submissions to the Ethics Executive, reporting to the Integrity Commissioner of Ontario and other entities; and supporting documentation and scheduling for investigations.
  • Processing and supporting the implementation of contracts, including confidentiality agreements, service agreements, letter agreements, non-disclosure agreements, and other agreements with a standard framework.
  • Preparing standard documentation for litigation, proceedings before administrative tribunals, and arbitrations.
  • Preparing, reviewing, and organizing legal documents such as contracts, memoranda, correspondence, legal opinions, briefing notes, and reports.
  • Supporting with obtaining internal and external signatures and responding to contract-related emails as appropriate.
  • Monitoring and maintaining legal files and ensuring compliance with applicable legislation and agency policies.
  • Coordinating scheduling of meetings, hearings, investigations, and litigation matters.
  • Maintaining and organizing electronic and physical legal files, ensuring accuracy, security and confidentiality, and compliance with applicable legislation, agency policies, law department practices, and audit requirements.
  • Tracking deadlines and managing case timelines and follow-ups.
  • Coordinating document production, record keeping and internal reporting for legal files.
  • Working independently and collaboratively within a busy client environment, while seeking and receiving support/direction from Legal Counsel, Senior Legal Counsel or General Counsel as required.
  • Supporting the Legal Counsel, Senior Legal Counsel or General Counsel in higher complexity files or contract reviews as required.
  • Ensuring timely resolution to internal and external client requests; liaising and following up with internal client requests.
  • Participating in the formulation, development, implementation, and revision of organizational policies and procedures that require input from the Legal department.
  • Assisting in maintaining templates and version control, ad hoc reports, electronic filing and other duties as assigned.
  • Supporting OH’s compliance with applicable legislative and regulatory requirements, government directives and internal policies and procedures.
  • Contributing to the realization of the legal department’s strategic and business objectives.
  • Performing other related duties as assigned by the Senior Legal Counsel and General Counsel.
Education and Experience
  • Post-secondary education in business or relevant discipline required;
  • 3 to 5 years of providing support to government organizations, law firms, or in-house legal departments;
  • Demonstrated ability to work with high volumes of material and information;
  • Desirable: Knowledge and understanding of the Public Service Ontario Act, Employment Standards Act, Labour Relations Act and other employment law legislation;
  • Experience and formal training combined with demonstrated performance and ability may substitute for stipulated academic/experience requirements.
Key Competencies
  • Knowledgeable of: (i) Ontario government directives and (ii) applicable legislation (PSOA, Employment Standards Act, OHSA, AODA, Labour Relations Act, FOI/ Privacy acts, and PHIPA 2007).
  • Strong verbal and written communication skills.
  • Strong analytical and drafting skills; proficient in Microsoft Word and Excel.
  • Knowledge of contract management databases and email packages.
  • Highly adaptable and responsive to changing business needs.
