Job summary

Mainstay Engineers and Owner Representatives Ltd. is seeking an organized HR Administrator to support the full employee lifecycle, from recruitment to offboarding, with a focus on accuracy and discretion.

You will collaborate with leaders to coordinate onboarding, training, benefits, HRIS data, compliance, and reporting, ensuring accurate HR records and a positive workplace. This full-time permanent role requires 2+ years of HR experience and relevant credentials.

Qualifications

  • Diploma or Degree in Human Resources, Business Administration, or a related field.
  • 2+ years of Human Resources experience.
  • CPHR designation or working toward designation is an asset.
  • Strong organizational, communication, and problem-solving skills.
  • Experience with Microsoft Office and HRIS systems.
  • Ability to manage confidential information with professionalism and discretion.

Responsibilities

  • Recruitment & Onboarding: Coordinate job postings, candidate screening, interviews, offer letters, onboarding, and orientation activities.
  • Employee Relations: Respond to employee inquiries, assist with performance management and employee engagement initiatives, and support policy administration.
  • Training & Development: Coordinate training programs, maintain training records, and support employee development initiatives.
  • Compensation & Benefits: Administer employee benefits, support compensation reviews, and maintain HR data accuracy.
  • HR Compliance: Ensure compliance with employment legislation, company policies, privacy requirements, and HR documentation standards.
  • Employee Records & HRIS: Maintain confidential employee files, HRIS records, employment documentation, and reporting.
  • Health & Safety: Support safety programs, maintain training records, assist with incident reporting, and coordinate return-to-work activities.
  • Workforce Planning & Organizational Development: Assist with workforce planning, job descriptions, succession planning, and organizational improvement initiatives.
