A venture studio in Montreal is seeking an experienced Office Manager to oversee daily operations and improve administrative processes. The ideal candidate will have 5+ years of experience in office management, possess strong organizational skills, and be comfortable in a fast-paced environment. We’re looking for an Office Manager who will own the day‑to‑day office operations and continuously improve our administrative processes. You’ll be the go‑to person for keeping the workplace running smoothly—supporting employees, coordinating vendors and services, maintaining controls, and ensuring the office experience is efficient, welcoming, and well organized.
Implement, review, and continuously improve administrative and office procedures
Establish work priorities, ensure processes are followed, and deadlines are met
Oversee and coordinate office administrative activities and day‑to‑day operations
Plan and coordinate office services, including:
Space/accommodation needs and relocations
Equipment, supplies, forms, and inventory
Asset disposal, parking, and building access
Maintenance and security coordination
Support operating budget preparation and maintain inventory and budgetary controls
Track budgets and expenditures, ensuring spending is organized and properly documented
Assemble data and prepare periodic/special reports, manuals, and correspondence
Perform accurate data entry and maintain clean administrative records
Plan and execute social events, guest programs, and internal initiatives
Manage event logistics (planning, coordination, vendors, schedules, and on‑site support)
5+ years of proven experience in office management, administration, or operations
Postsecondary studies in a related field (e.g., administration, office management, operations)
Strong organizational skills and comfort managing multiple priorities in a fast‑paced environment
Excellent communication skills (written and verbal) with a service‑oriented mindset
Ability to build structure: documenting processes, improving workflows, and following through
Experience with budget tracking and vendor coordination (or strong willingness to learn)
High attention to detail, discretion, and reliability
Experience in a startup, tech, or similarly fast‑moving environment
