Job summary

Gray Collection in Ottawa is seeking an F&B Coordinator to provide administrative support to the F&B management team across three outlets. You will help manage guest communications, menus, inventory, and payroll data while ensuring smooth daily operations.

The role requires 1–2 years in a similar setting, strong English and French, high attention to detail, and the ability to work daytime shifts and weekends. Proficiency with Microsoft Office is essential, and initiative is valued.

Qualifications

• 1–2 years of experience in a similar role (asset).
• Education in Restaurant, Hospitality, or Food & Beverage Management (asset).
• Strong customer service orientation.
• High level of accuracy and attention to detail.
• Ability to work independently and demonstrate initiative.
• Availability to work daytime shifts and weekends.
• Strong knowledge of Microsoft Office Suite applications.
• Excellent verbal and written communication skills in both French and English.

Responsibilities

• Respond to all guest comments and reviews on online platforms.
• Respond to information requests through outlet info@ emails.
• Develop and update menus using iMenuPro.
• Update and maintain sales tracking information for each outlet.
• Draft communications for F&B employees and update departmental notice boards.
• Support implementation and follow-up of new policies and procedures.
• Respond to group reservation inquiries and coordinate bookings.
• Participate in the monthly inventory process incl. counting, reconciliation & reporting.
• Coordinate and organize photoshoots, including scheduling & logistics.
• Place orders for operational supplies and process invoices.
• Assist onboarding of new team members, including documentation.
• Support payroll preparation by ensuring accurate employee records.
• Maintain organized records and assist with admin tasks.
• Perform other duties for the three outlet directors and the Director of F&B.
