POSITION SUMMARY
The Albany Club is seeking an energetic multitasker to take on the role of Events & Catering Manager. Reporting to the Director of Clubhouse Operations, the Events & Catering Manager will act with utmost integrity to provide prompt, professional service as they reserve, plan, and coordinate all aspects of various types of functions. They will demonstrate an excellent level of creativity and personal commitment to member / guest satisfaction. The Events & Catering Manager will be a team player, and exceptionally detailed with organizing and communicating the logistics with the Food and Beverage Department and ensuring all staff are informed immediately of any changes. Wedding planning accreditation is a requirement but can be obtained post hiring. Wedding planning experience is a favourable advantage as well as working with committees. An entrepreneurial mindset and adaptability to change is expected.
QUALIFICATIONS
- Post-secondary diploma or degree in Hospitality (Hotel Management, Event Planning) required.
- Excellent reading, writing and oral proficiently in English.
- Highly competent user of MS Office Suite.
- Experience with Jonas Software and Activity Management is an asset.
- Ability to communicate effectively with various department staff within the Club.
- Strong commitment to service and satisfaction of Club members.
- WPIC (Wedding Planners Institute of Canada) certification is an asset.
- Ability to accommodate flexible working hours based on volume of business.
SUMMARY OF RESPONSIBILITIES
- Act as the liaison between the member / guest and the Club for all needs (inquiries, site visits, estimates, contracts, floor plans, proposals, menu development, vendor referrals, invoices, deposits).
- Promptly respond to all inquiries within 24 hours.
- Design, develop and market creative catering events.
- Attend and participate in all Event Committee meetings (once a month) and assist with the execution of all member social events organized by the committee.
- Maximizes revenue through proactively soliciting new accounts and by up-selling.
- Work closely with the Executive Chef and Director of Clubhouse Operations to develop creative, innovative catering menus.
- Have an excellent knowledge of the Club's facilities, capacities and set up dimensions.
- Maintain the requirements of the approved sales contracts (deposits, cut off dates, billing instructions, guarantee numbers).
- Coordinate sales efforts to maximize proper utilization of the function space.
- Conduct tours of the Club and menu tastings with members or guests.
- Monitors the effective resolution of any complaints from members and guests.
- Share any feedback (positive or negative) with the management team and debrief on larger events.
- Create banquet event orders and floor plans with the member / guest outlining all details of the function.
- Prepare the draft copies of events for the following week on Tuesdays and submit to other Managers, the final copies by Thursday afternoon to all floors and concierge.
- Maintain an accurate tracking of signed banquet orders and ensuring clients are aware of the terms and conditions.
- Provide bi-weekly catering forecast updates to the management team using the Jonas Activity Management reports system.
- Contribute to the yearly budget and provide a business plan for the upcoming year.
- Ability to be flexible and accommodating with changing working hours.
- Flexibility required to work evenings, weekends and public holidays / event days when necessary.
- Available to work weekends and evenings on occasions based on business demand.
- Perform other duties as assigned by the Director of Club Operations.
WEDDINGS :
- Actively control & manage the Club's wedding Instagram account as well as Event Source or other advertising and marketing contracts.
- Achieve the monthly and yearly budgets for food, beverage, and room rental sales.
- Work with wedding couples to assist with outlining their day (itinerary, vendor referrals, responding to questions etc.).
- Book wedding tastings with the couples and coordinate accordingly with the Chef.
- Day-of liaison between the Club and the wedding couple on their wedding day.
