Job description

The Community Office Manager is responsible for the day-to-day operations of the Member of Parliament’s constituency office. This role involves managing the office, coordinating communication with constituents, and supporting the MP in their work locally. The Office Manager ensures that the constituency office is a welcoming, efficient, and effective resource for local residents, businesses and stakeholders. Other duties as assigned.

Job Description

Key Responsibilities:

Office Management:

  • Serve as a primary point of contact for constituents seeking assistance with federal programs (e.g., immigration, CRA, Service Canada).
  • Triage and assign casework to appropriate staff, ensuring timely follow-up and resolution.
  • Oversee the running of the constituency office, including administrative systems, and health and safety.
  • Manage office supplies and resources efficiently.
  • Ensure data protection and confidentiality protocols are upheld.
  • Ensure accessible and equitable service delivery across all community groups.

Constituent Services:

  • Manage constituents visiting, calling and writing to the constituency office
  • Engage with constituents in an empathetic and thoughtful manner
  • Oversee and support casework, ensuring prompt and sensitive handling of constituents’ issues.
  • Draft and manage responses to constituent enquiries, correspondence, and complaints.
  • Maintain accurate and confidential records, including ensuring daily CRM updates are completed by staff

Staff Supervision:

  • Assist the Chief of Staff in day-to-day activities.
  • Foster a professional, inclusive, and supportive work environment
  • Prepare weekly and monthly statistical reports for the Chief of Staff and MP

Qualifications

Essential:

  • Bilingual;
  • Strong leadership and organizational skills;
  • Excellent written and verbal communication abilities;
  • Proven experience in office management;
  • Ability to handle sensitive information with discretion and confidentiality;
  • Strong interpersonal skills and a commitment to collaborative and compassionate public service;
  • Ability to work independently and take initiative.

Desirable:

  • Experience managing a constituency office, or other office;
  • Knowledge of the role of an MP;
  • Experience with casework, social work, or customer service in a political or public service setting;
  • Familiarity with the local constituency and its key issues.

Stakeholder Engagement & Intergovernmental Relations:

  • Track and advise the Chief of Staff on relevant issues affecting the riding that require coordination between municipal, provincial, and federal jurisdictions (e.g., infrastructure, transit, housing, heritage and land use planning).

Qualifications:

  • Post-secondary education in political science, public administration, communications, or a related field;
  • Minimum 3–5 years experience in political, governmental, or community service roles, preferably in a managerial or senior administrative capacity;
  • Strong understanding of Canada’s three levels of government, their respective roles, and intergovernmental relations, especially within the National Capital Region;
  • Familiarity with the mandate and functions of the National Capital Commission and its coordination with Parliament Hill, federal agencies, and local authorities;
  • Excellent written and verbal communication skills in both English and French (bilingualism strongly preferred);
  • Proven ability to work in a fast-paced, politically sensitive environment with a high degree of professionalism, discretion, and judgment;
  • Experience managing a small team and handling confidential or politically sensitive information.

Working Conditions:

  • Based in an Ottawa constituency office, 5 days per week;
  • Must be legally entitled to work in Canada and prepared to sign a confidentiality and political loyalty agreement;

Additional Information

Occasional travel and work outside of regular hours may be required.
