Summary :

The Studio Office Manager is responsible for the overall studio environment for Mercury. They oversee daily office operations across the studio, ensuring organizational efficiency and safety within the leased space. Responsibilities include facilities operations, liaising with regional and contractors to ensure smooth studio functioning, and being the point of contact for visitors to Mercury's studio. They aim to create a positive experience for employees, guests, partners, and clients. The Office Manager works closely with Talent Management, Production, and Department Heads to promote company culture and engagement.

Role and Responsibilities :

Studio Operations :

  • Identify and implement improvements and innovations for the leased space based on current and future needs.
  • Collaborate with VP of Pipeline & Studio Operations, Senior Management, Production, and Talent Management on internal relations and building operations; oversee adherence to policies; ensure security and confidentiality; manage onboarding and offboarding of staff and contractors.
  • Assist with executive requests such as travel arrangements and meeting bookings.
  • Manage projects related to studio design, construction, and furnishings, liaising with contractors and monitoring progress.
  • Lead workplace safety initiatives, including being the Joint Health and Safety Committee Chair and Emergency Warden, maintaining certifications, and conducting safety audits.
  • Respond to emergency and security concerns, engaging with regional groups and IT as needed.
  • Ensure compliance with lease terms and address cleaning and maintenance issues.
  • Handle staff inquiries and concerns regarding workplace operations, providing timely solutions and escalating when necessary.
  • Oversee office inventory and manage vendor invoices, engaging with new vendors as needed.
  • Supervise the Studio and Operational Assistants, delegating tasks and conducting performance reviews.
  • Attend relevant meetings and keep the leadership team informed about studio operations.

Site Representation & Events :

  • Lead visitor coordination, including access, parking, and equipment needs.
  • Plan and execute onsite company events, managing logistics, insurance, and licensing.
  • Manage communication related to studio operations and events, ensuring staff are well-informed.
  • Oversee onboarding and offboarding processes, ensuring compliance.
  • Manage studio security, parking, and amenities, updating relevant portals and records.
  • Support new hire orientations with studio tours and questions.
  • Promote Mercury Filmworks Green Initiatives as a Green Screen Ambassador.
  • Maintain discretion, confidentiality, and act in the company's best interests.
  • Handle corporate gifts, birthday celebrations, Lunch and Learn announcements, and calendar management.
