Job Summary: We are seeking a highly organized and detail-oriented Bookkeeper/Office Manager to join our team. The successful candidate will be responsible for managing the day-to-day financial operations and administrative functions of our office. This role requires a proactive individual with strong bookkeeping skills and the ability to handle multiple tasks efficiently.

Key Responsibilities:

  1. Bookkeeping: (75% of time)
  2. Maintain accurate financial records and perform regular reconciliations.
  3. Process accounts payable and receivable, ensuring timely payments and collections.
  4. Prepare and submit monthly financial reports to the executive team.
  5. Assist with budget preparation and financial forecasting.
  6. Manage payroll processing and employee expense reimbursements.
  7. Office Management: (10%)
  8. Oversee the daily operations of the office, ensuring a smooth and efficient work environment.
  9. Manage office supplies inventory and place orders as needed.
  10. Coordinate and schedule meetings, appointments, and events.
  11. Maintain and update office policies and procedures.
  12. Prepare shipments.
  13. Administrative Support: (15%)
  14. Provide administrative support to the executive team and other staff members.
  15. Assist with the preparation of reports, presentations, and other documents.
  16. Manage membership records and assist with member communications.
  17. Perform other related duties as assigned.

Qualifications:

  1. Proven experience as a bookkeeper or office manager, preferably in a similar industry.
  2. Proficiency in accounting software, QuickBooks, and MS Office Suite as well as 3rd party payment platform software (e.g., Stripe).
  3. Strong organizational and time management skills.
  4. Excellent attention to detail and accuracy.
  5. Ability to work independently and as part of a team.
  6. Strong communication and interpersonal skills.
  7. Knowledge of the mechanical contracting industry is an asset.
  8. Financial designation is considered an asset.

Salary Range: $60,000 - $75,000 depending on experience of candidate
