Jackman Eye Institute is seeking an experienced Supervisor of Clinic Administration to lead the clinic administration team and ensure smooth front-end operations. You will oversee scheduling, patient flow, staff guidance, and alignment with organizational policies in a fast-paced ophthalmology setting.

The role emphasizes leadership, problem solving, and delivering an exceptional patient experience, with collaboration across operations and clinical teams.

Qualifications

• Minimum three years in customer service, healthcare administration, or medical reception.
• Previous leadership or supervisory experience preferred.
• Strong understanding of patient service, scheduling, and clinic operations.
• Excellent communication and interpersonal skills for difficult conversations.
• Organizational, problem-solving, and decision-making abilities.

Responsibilities

• Provide day-to-day leadership, coaching, mentorship, guidance, and support to clinic administration team members.
• Serve as the primary point of contact for the clinic administration team.
• Monitor daily workflow, staffing, clinic schedules, patient flow, waitlists, referrals, and booking practices.
• Support complex scheduling and operational challenges.
• Assist with recruitment, onboarding, orientation, and training of new employees.
• Reinforce policies, procedures, and patient service expectations while promoting a positive environment.
• Identify workflow concerns and recommend improvements to enhance efficiency and patient service.
• Support implementation of new workflows, systems, and operational initiatives.
• Act as the first escalation point for patient concerns and service issues with direct resolution.
• Participate in audits and quality assurance initiatives.
