Qualifikationen

Are you an experienced healthcare administration professional who enjoys leading others, solving problems, and creating an exceptional patient experience? Jackman Eye Institute is looking for a Supervisor of Clinic Administration to provide day-to-day leadership and support to our clinic administration team while helping coordinate front-end clinic operations.

This full-time role is ideal for someone who is organized, approachable, confident making decisions, and comfortable balancing patient service, staff support, scheduling, and operational priorities in a fast-paced healthcare environment. The Supervisor will work closely with the Operations Manager and serve as a key resource for clinic administration team members.

What You’ll Do
  • Provide day-to-day leadership, coaching, mentorship, guidance, and support to clinic administration team members.

  • Support team members with complex scheduling situations and operational challenges.
  • Assist with recruitment, onboarding, orientation, and training of new employees.
  • Reinforce organizational policies, procedures, and patient service expectations while promoting a positive and collaborative work environment.
  • Identify workflow concerns and recommend improvements to enhance efficiency and patient service.
  • Support the implementation of new workflows, systems, and operational initiatives.
  • Act as the first point of escalation for patient concerns, complaints, and service issues, working directly with patients to support effective resolution.
  • Resolve routine operational and patient service concerns while escalating significant issues when appropriate.
  • Participate in departmental audits and quality assurance initiatives.
  • Review booking accuracy, scheduling compliance, workflow adherence, and service standards.
  • Monitor key performance indicators and operational trends.
  • Assist with staff coaching, corrective action planning, and performance improvement initiatives.
  • Make day-to-day decisions related to workflow management, scheduling priorities, and operational concerns.
  • Collaborate with leadership to identify opportunities for service excellence and continuous improvement.
What You’ll Bring
  • A minimum of three years of experience in customer service, healthcare administration, medical reception, or a related environment.
  • Previous leadership, coaching, or supervisory experience is preferred.
  • Strong understanding of patient service, scheduling practices, and clinic operations.
  • Excellent communication and interpersonal skills, with the ability to handle difficult conversations and resolve concerns professionally.
  • Strong organizational, problem-solving, and decision-making abilities.
  • Ability to prioritize competing responsibilities and remain organized in a fast-paced healthcare environment.
  • Confidence making day-to-day decisions while recognizing when an issue should be escalated.
  • A collaborative leadership style with a willingness to coach, support, and develop others.
  • Experience with electronic medical records and scheduling systems is considered an asset.
