Position Summary:

Reporting to the Operations Manager, the Billing Administrator is responsible for processing all paperwork related to the operation of the Service Department to produce service invoices on a weekly basis.

Responsibilities:
  • Review services verified as complete by the service team and validate all associated paperwork and costs.
  • Review technician notes and supporting documents to ensure clear correlation of events and billable charges.
  • Apply stock (truck) or other miscellaneous charges and verify vendor pricing.
  • Compile information for individual service jobs and prepare for billing.
  • Submit weekly audit batches for manager approval and distribute invoices and supporting documents to customers via email, portals, or mail.
  • Process customer complaints and billing inquiries.
  • Ensure monthly budget targets are met.
  • Review billable opportunities with branch administrators and dispatch teams to maximize billing.
Qualifications:
  • At least 2 years of experience in billing, invoicing, finance, or accounting.
  • Proficiency in MS Word, Excel, and Outlook.
  • Accurate keyboarding skills, including use of the numeric keypad.
  • Accountability and ownership of personal workload.
  • Attention to detail and commitment to quality.
  • Effective time management skills.
  • Strong verbal and written communication skills in English.
  • Ability to work independently and as part of a team, with a positive attitude.
  • Flexibility to adapt to changing priorities.
