Job summary

March of Dimes Canada is hiring a Bilingual Receptionist to provide vital front-desk and administrative support at the National Office in Toronto. You will greet visitors, answer inquiries in English and French, manage calendars, assist with events, and coordinate with vendors and staff with discretion and professionalism.

The role requires a high school diploma (college diploma preferred), at least 3 years of reception/administrative experience, and fluency in English and French.

Qualifications

  • High school diploma or equivalent is required; a college diploma or certification in office administration or a related field is preferred.
  • Minimum of 3 years of solid/proven experience in reception, administrative, or customer service roles.
  • Fluently bilingual with strong verbal and written communication skills in English and French, and the ability to translate general written information.

Responsibilities

  • Greet visitors and answer phones, providing general information and directing inquiries to the appropriate staff.
  • Serve as a friendly first point of contact for the National Office and external partners.
  • Handle confidential information with professionalism and discretion, ensuring proper hand-offs to staff.
  • Maintain front desk and office spaces to ensure a welcoming, safe environment.
  • Assist with invoices, calendar management, events, catering, and facility repairs as needed.

The Opportunity:

The Bilingual Receptionist provides vital support by handling various reception and administrative tasks, while delivering exceptional customer service to the general public, volunteers, staff, service users, and the organization as a whole in both English and French. They serve a vital role as a friendly and welcoming first point of contact for March of Dimes Canada’s National Office. This position supports the organization by managing calendars, coordinating events and meetings, addressing general inquiries, directing issues to the appropriate staff, maintaining communication with vendors, and providing overall support to the Property Operations team.

Responsibilities:
  • Interact with service users, clients, staff, volunteers, and guests in a professional and positive manner to ensure an excellent first impression of March of Dimes Canada.
  • Answer phone calls and greet visitors, providing general information about programs and services, and directing inquiries to the appropriate individuals.
  • As a first point of contact for individuals withand resolveissues or complaints, demonstrate professionalism, discretion, and a high degree of confidentiality ensuring a formal hand-off to the appropriate staff member for resolution.
  • Maintain the front desk and general office space to ensure a safe, welcoming, and organized environment.
  • Assist with general office administration, including processing invoices, managing events, coordinating catering, arranging for facility repairs, and handling other tasks or projects as required.
  • Utilize various applications and databases—including Microsoft Word, Excel, Tactic, and other software programs—to input data, maintain records, and generate reports (e.g., staff directories, filing systems, and office equipment records).
  • Participate in Occupational Health and Safety meetings, serve as an active member of the Joint Health & Safety Committee (JHSC), Fire Safety Team, and adhere to all March of Dimes Canada policies and procedures.
  • Assist the Property Operations team with mail management, including sorting, preparing, and tracking shipments via Canada Post, FedEx, Purolator, and same-day couriers.
  • Work in collaboration with the Property department to support all facility maintenance and operational needs as required.
  • Provide administrative support to Director of Property as needed.
Qualifications:
  • High school diploma or equivalent is required; a college diploma or certification in office administration or a related field is preferred.
  • Minimum of 3 years ofSolid/provenexperienceand aptitudein a reception, administrative, or customer service role.
  • Fluentlybilingual withstrongverbaland writtencommunication skills in both English and French,andthe ability to accurately translate generalwritteninformation.
  • Strong customer service and interpersonal skills with a professional demeanor.
  • Proficiency in Microsoft 365 applications (Word, Excel, PowerPoint, Teams, OneNote, OneDrive).
  • Strongorganizational skills with high attention to detail and a proven ability to maintain a productive workflow.
  • High flexibility to adapt to changing demands and balance multiple tasks simultaneously.
  • Skilled at taking verbal and written direction and executing assigned tasks independently.
  • Salary Range: $34,428 - $43,035 per annum
  • Benefits: Comprehensive benefits package (subject to organizational eligibility requirements)
  • Employment Type: Full-time, Permanent
  • Schedule: Monday to Friday, 8:30 AM to 5:00 PM
  • Work Location: In-person at the National Office (99 Duncan Mill, Toronto, ON M3B 1Z2)
