Job Title: Admissions Coordinator

Location: This role requires full-time, in-office attendance during the initial training period. 2360 Meadowpine Blvd, Mississauga, ON L5N 6S2. After training, the role follows a hybrid schedule (3 days in office / 2 days remote).

Hours: Monday to Friday 8:00 am - 5:00 pm

Start Date: January 2026

The Opportunity

Admissions Coordinator is a dual-function role in which the primary responsibility is to provide high-level administrative, scheduling, and organizational support to the Vice President of Admissions. The secondary responsibility is to provide administrative and process support to the admissions team and overall admissions operations.

What you'll be doing:
  • Proactively manage the Vice President of Admissions’ calendar, ensuring optimal scheduling, prioritization, and coordination of meetings.
  • Review, organize, and respond to emails on behalf of the VP as directed.
  • Flag urgent issues, follow up on outstanding items, and maintain clear communication flow.
  • Prepare correspondence, summaries, reports, briefing materials, and communication on behalf of the VP.
  • Maintain organized electronic and hard copy filing systems.
  • Coordinate meeting logistics including agendas, minutes, action items, and follow-up tracking.
  • Arrange travel, assist with event planning, and support the VP’s participation in internal and external activities.
  • Create, edit, and format PowerPoint presentations for leadership, admissions meetings, performance updates, and strategy sessions.
  • Develop, maintain, and update Excel spreadsheets including metrics, dashboards, tracking documents, and reporting tools.
  • Support the VP on strategic and operational projects by collecting data, monitoring timelines, and ensuring deliverables remain on track.
  • Conduct basic research, compile relevant information, and prepare executive-level material.
  • Learn and leverage systems including XCAS, Rippling, and internal databases to support admissions and executive activities.
  • Assist with data entry, report generation, and system updates as needed.
  • Provide administrative and clerical support to the admissions processes and team.
  • Assist with applicant document collection, tracking, and follow-up.
  • Support the organization and accuracy of admissions data.
  • Schedule applicant interviews, admissions-related meetings, and team activities.
  • Provide basic support to prospective students and internal team members as needed.
  • Maintain admissions-related spreadsheets, records, and tracking tools.
  • Enter and update applicant information in XCAS and other systems.
  • Prepare simple admissions reports, summaries, and updates for the VP and team.
What you bring to the position:
  • Minimum Grade 12 required. College diploma in Business Administration, Office Administration, or a related field preferred.
  • Minimum two years of administrative or executive assistant experience preferred.
  • Experience supporting senior leadership is strongly preferred.
  • Strong proficiency in Microsoft Office (Excel, PowerPoint, Outlook, Word).
  • Highly computer literate with the ability to quickly learn new systems (XCAS, Rippling, etc.).
  • Exceptional organizational skills with meticulous attention to detail.
  • Ability to handle confidential information with discretion and professionalism.
  • Excellent written and verbal communication skills.
  • Strong ability to prioritize competing demands in a fast-paced environment.
  • Professional, adaptable, proactive, and service-oriented.
