Alberta Health Services is seeking an Administrative Support III for the Stollery Children’s Hospital Ambulatory clinics in Edmonton. The role schedules clinical appointments and coordinates referrals and tests, communicating directly with families as the first point of contact.

The position requires Medical Terminology, an Office Assistant certificate, two years of Medical Office Assistant and Connect Care experience, and advanced Microsoft Office skills.

Qualifications

  • Completion of Grade 12 or equivalent.
  • Medical Terminology certificate/course required.
  • Completion of post-secondary education in Medical Office Assistant Training Certificate.
  • A minimum of two years of recent Medical Office Assistant experience.
  • A minimum of two years of recent Connect Care experience working in the Medical Office Assistant role.
  • Highly proficient in Microsoft Office Suite with advanced skills and demonstrated experience in Word, Excel, and Outlook.
  • Proof of successful formal training and/or advanced proficiency in Microsoft Office Suite.
  • Demonstrated proficiency in the use of personal computers and various network and software applications (i.e.: Outlook Web Access calendar & email, Microsoft Word, Excel, Power Point, and Medline searches).
  • Consistent attention to detail.
  • Excellent written and verbal communication skills; strong problem-solving skills.

Responsibilities

  • Coordinate clinical scheduling and referrals for physicians in the Pediatrics program.
  • Serve as the first point of contact for families to coordinate scheduling needs.
  • Maintain patient privacy and confidentiality at all times.
  • Prepare, track, and manage documentation and tests as part of the scheduling process.
  • Adapt to changing priorities and workload demands with minimal supervision.

Your Opportunity:

The Pediatric Clinical Services Scheduler position performs a wide range of clinical and clerical activities that contribute to the Stollery Children's Hospital Ambulatory clinical scheduling operations. The highest level of reliable services will be provided by this position while keeping patient privacy and security confidential at all times. As part of the Pediatric Clinical Services Team, the position is responsible for clinical appointment scheduling as well as coordination of incoming referrals and clinical tests for physicians participating in the Pediatrics program. Demands of this position are extensive due to the volume of work and the variety of tasks performed. The Pediatric Clinical Services Scheduler, as the first point of contact for patients' families, communicates directly with families to coordinate their clinical scheduling needs. The position follows and consistently applies comprehensive written procedures, hence needs to adapt quickly to changing priorities to meet the demands posed by ongoing operational changes within The Stollery Children's Hospital Ambulatory clinics. The position is a frontline AUPE – GSS union position and reports to the Team Lead of Pediatric Clinical Services within the Pediatric Clinical Services.

Required Qualifications:
