The Calgary Tuberculosis Clinic is seeking a temporary part-time Administrative Support III to provide clerical support within a busy, multidisciplinary outpatient clinic. The primary responsibilities of this position are immigration referral management and clinic scheduling, with occasional cross-coverage of front desk operations based on operational requirements.Responsibilities include receiving, reviewing, and processing immigration referrals; verifying demographic and referral information; entering and updating information in Connect Care; monitoring referral work queues; routing referrals through established workflows; following up on missing information; and supporting timely progression of referrals.The position also supports clinic scheduling, including booking, rescheduling, and cancelling appointments; reviewing appointment requests; monitoring scheduling work queues; and ensuring patients are scheduled with the appropriate provider, visit type, and timeframe.Occasional front desk coverage may include patient registration, verification of demographic information, responding to telephone and in-person inquiries, and supporting patient flow.The successful candidate will demonstrate strong organizational skills, attention to detail, sound judgment, and the ability to manage competing priorities in a high-volume environment. As an Administrative Support III, you will require advanced administrative or specialized skills and knowledge to support complex procedures, practices and initiatives within a department or program.
Completion of Grade 12 or equivalent.
Recent (within last 6 months) Connect Care training and demonstrated competency as a Schegistrar and Referral Coordinator is required. Recent Front Desk Clerk training and competency is also required to support occasional reception coverage.Candidates must have recent experience using Connect Care for referral management, patient registration, and clinic scheduling, including work queue management.Fluency in English, both written and verbal, is required. Candidates must demonstrate strong communication, organizational, and interpersonal skills; accuracy in documentation and data entry; and the ability to manage competing priorities in a high-volume environment.Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams, is required.Candidates must demonstrate professionalism, sound judgment, understanding of patient privacy and confidentiality, and the ability to follow established workflows and recognize situations requiring escalation.Candidates must be able to meet the physical requirements of the role, including frequent standing and occasional lifting of up to 20 lbs, and must be able to complete and maintain an appropriate N95 respirator fit test.
Post-secondary education in medical office, unit clerk, administration, or a related field. Recent outpatient, specialty clinic, public health, or ambulatory care experience preferred. Experience with immigration or referral workflows, scheduling work queues, medical terminology, and working with culturally and diverse patient populations are considered assets.
