Responsibilities

  • Communicate staffing changes requiring adding or removing shifts from the console within the immediate needs window.
  • Meet weekly with Managers and Staffing Services Center to review shifts, hot spots, assignments, vacancy and leave reports.
  • Timekeeping tasks for Strathcona Community Hospital and Northeast Community Health Centre facilities and review of timecards and bank payouts.
  • Assist with vacation requests and communication to staff.
  • Office duties such as laminating, preparing educational packages, answering phones and faxing as needed.

Job description

Under the supervision of Emergency and Ambulatory Care Unit Managers, the Administrative Support IV serves as a liaison between the Northeast Community Health Centre, Strathcona Community Hospital and Staffing Services Centre. The Administrative Support Liaison will work collaboratively with the Staffing Service Center to update Environment for Scheduling Personnel (ESP) with any schedule changes and inform the other party as per established ESP timelines. The Liaison is responsible for communicating any staffing changes requiring adding or removing shifts from the console within the immediate needs window. The Liaison will meet weekly with Managers and Staffing Services Center to review outstanding shifts, hot spots, assignments, vacancy and leave reports. The Liaison is responsible for timekeeping tasks for both the Strathcona Community Hospital and Northeast Community Health Centre Emergency Departments and the Strathcona Community Hospital Ambulatory Clinics/IV Therapy Clinic and the Northeast Community Health Centre Ambulatory Care Clinics including the review of timecards, flowsheet and entry of bank payouts in timecards. The Liaison will also assist the Managers with the coordination of vacation requests and mutual agreements as well as assisting with communication to staff. Strong communication and interpersonal skills required. Courteous and pleasant telephone manners and proven organizational skills with the ability to prioritize work with minimal supervision required. Proven reliability and dependability required and the ability to work as a team in a fast-paced environment while adapting to frequent interruptions and shifting priorities. Responsibilities may also include helping with office duties such as laminating, preparing educational packages, answering phones and faxing as needed.

Required Qualifications:

Some post-secondary education.

Additional Required Qualifications:

Completion of post-secondary education (e.g. courses(s) in business administration, medical office assistant), or other related fields. Minimum 1-year experiene working in an AHS centralized ESP Staffing Service Center.

Preferred Qualifications:

A minimum of two year's experience in staff scheduling. Demonstated competency in ESP access, Microsoft, Excel and Work. Must demonstrate attention to detail. Additional education in office administration an asset. Experience working in a unionized, health care and/or 24/7 environment. Experience with AHS scheduling software (Kronos, ESP, ASC).
