About the role
Reporting directly to the Vice President of Operations, the Administrative Assistant will be naturally curious, enjoy taking initiatives and is eager to help others.
Responsibilities
- Provide administrative and secretarial assistance to the Executive Team & CEO at times.
- Plan and organize the daily and long-term agenda schedule of the Executive Team.
- Manage incoming and outgoing communications of the Executive Team’s office (telephone, fax, e-mail, correspondence, and memorandum).
- Organize, plan, coordinate and follow-up all Executive Team’s scheduled appointments, meetings, activities, traveling, hotel and transportation.
- Assist the Executive Team in preparing for meetings and presentations.
- Organize filing of all Executive Team’s documents and correspondence.
- Translate documents, corporate communications, and presentations from French to English, and from English to French.
- Assist the Executive Team in any other tasks assigned from time to time.
Role Requirements
- Proficient with Microsoft Office365, outlook email and team meeting management.
- Able to manage multi-executive agendas and schedules.
- Good research skills and attention to detail.
- Cybersecurity awareness; including familiarity with generative AI usage like Chat GTP.
- High organization skills required.
- Fully Bilingual; Reading and writing, with emphasize on proper French writing skills.
- Ability to review procedures and identify areas of improvements.
- Ability to maintain harmonious relationships with business partners, working colleagues.
- Ability to meet deadlines and make efficient follow-ups.
- Strong organizational and planning skills.
- Aptitude in working in a fast-paced business environment.
- Team player oriented.
- Strong people and communication skills.
- High level of discretion and confidentiality is required.
