Job summary

LASIK MD in Calgary is seeking an Administrative Assistant to support the Central Administrative Office with a focus on accuracy and efficiency. This full-time position requires handling PO entries, invoicing, patient financing approvals, and daily chart audits.

You will be the main CAO contact for IT, Purchasing, HR, and other requests, ensuring month-end tasks are completed on time. You may cross-train for other clinic roles and contribute to risk management activities.

Qualifications

  • Customer service and coordination skills are essential.
  • Experience with clerical tasks and data entry is required.
  • Knowledge of Navision or ERP/CRM systems is a plus.

Responsibilities

  • You are the main contact person for CAO requests and follow-ups.
  • You ensure month-end tasks and reports are completed on time.
  • You enter POs and confirmations in Navision accurately.
  • You process invoices in the CRM and conduct weekly audits.
  • You approve patient financing transactions with the provider.
  • You oversee clinic projects and action follow-ups from audits.
  • You provide backup coverage for clinic positions when needed.
  • You complete the Daily Chart Audit and report to the Center Director.
  • You assist with other requests from the Center Director or management.
  • You support Risk Management by reporting safety concerns promptly.

  • You have a permanent full-time position (approx. 35hrs p/week). Please note that weekly hours are based on operational needs, may vary, and are not guaranteed.

Your tasks at a glance
  • You are the main contact person for all Central Administrative Office (CAO) requests (Examples include: Accounting inventory request, requests from IT, Purchasing or HR, following up on delivery orders, etc).
  • You ensure all month end tasks and reports are completed and submitted on time.
  • You accurately enter all POs and reception confirmation in Navision software
  • You ensure all invoices are correctly entered in our CRM software, completing weekly audits and follow ups.
  • You approve and submit all patient financing transactions to our financing provider (verify plan codes and amounts).
  • You oversee clinic aesthetics projects & follow up on actions from audits delegated by the Center Director.
  • You jump in as a backup for clinic positions if needed (by being cross-trained).
  • You ensure the completion of the Daily Chart Audit (to be sent by email to the Center Director).
  • You assist with any other requests or projects requested by the Center Director or management team.
  • You support the organization’s Risk Management program by identifying and promptly reporting patient safety concerns, incidents, or potential risks to clinic management, to assist in the organization’s overall efforts to identify, report, and mitigate risks.
A clear view of your assets
  • You are comfortable with computers, technology, and Microsoft 365 (knowledge of EMR systems is an asset).
  • You have an interest in the medical field and have a passion for delivering excellent customer service.
  • You find it easy to connect with others and quickly build trust.
  • Your experience in the health care field is considered an asset (ex: medical assistant, physiotherapy assistant, optometry assistant, orderly, dental assistant, pharmacy lab technician, sterilization assistant, animal health technician assistant, veterinary assistant, etc.).
  • You are looking for a fast-paced, dynamic work environment where your ability to work in a team and excel at multi-tasking will be an asset.
  • Schedule: You have flexibility to work between Monday and Friday 8:00 AM - 4:00 PM, with rotational Saturdays.
  • Required: You are able and willing to occasionally help out partnering clinics in the Calgary & Edmonton area when needed (planning & expenses covered by Vision Group).
