Job summary

Bank ABC seeks to recruit an Executive Assistant for the Office of the Group Chief Legal & Corporate Affairs Officer. The role provides comprehensive secretarial and administrative support to facilitate the smooth operation of the Office and support day-to-day responsibilities.

The Executive Assistant coordinates meetings, schedules, agendas, and prepares materials for senior management, liaising with subsidiaries and MENA units as needed.

Qualifications

  • Senior administrative experience working with executives at the most senior level.
  • Proficiency in word processing, spreadsheets, presentations and databases.
  • Ability to coordinate multiple programme areas and complex details concurrently.
  • Strong written and oral communication with diverse stakeholders.

Responsibilities

  • Coordinate meeting notices, daily schedule, agendas, action items, minutes and materials.
  • Liaise with ABC Subsidiaries and MENA Units.
  • Prepare and review correspondence for senior management and Heads of Departments.
  • Draft materials and communications relating to the Office of the Group Chief Legal and Corporate Affairs Officer.
  • Prepare and disseminate documents to senior management, committees and external organizations.

Bank ABC seeks to recruit an Executive Assistant for the Office of the Group Chief Legal & Corporate Affairs Officer.

The Executive Assistant will be responsible for organizing and coordinating office operations and procedures to ensure optimal efficiency and effectiveness within the Office of the Group Chief Legal & Corporate Affairs Officer. The role provides comprehensive secretarial and administrative support, handling a broad range of administrative, coordination, and executive support duties to facilitate the smooth operation of the Office and support the Group Chief Legal & Corporate Affairs Officer in managing day-to-day responsibilities effectively.

Scope of the Job
  • Coordinates all activities and details of the Office of the Group Chief Legal and Corporate Affairs Officer, including, but not limited to, notice of meetings, daily schedule, list of action items, agendas, consolidation and/or preparation of all materials for consideration, logistical arrangements, minutes and meeting notes.
  • Follows up and liaises with ABC Subsidiaries and the MENA Units.
  • Composes and reviews correspondence in response to enquiries from Senior Management and Heads of Departments for review, approval, and signature.
  • Drafts and/or authors materials, records, and communications relating to the activities of the Office of the Group Chief Legal and Corporate Affairs Officer as required.
  • Conducts background research on proposed items, reviews information to determine if additional details are required, and identifies key issues to be reported for discussion.
  • Prepares and disseminates all documents and communications to senior management, committees, staff, and external organizations, as appropriate.
  • Coordinates with senior executives and other staff to compile information for Committee and Board meetings, as well as weekly and monthly reports, as necessary.
  • Ensures an orderly flow of information to all concerned internal and external parties on matters relating to the Office of the Group Chief Legal and Corporate Affairs Officer.
  • Provides knowledgeable input and administrative support to the Group Chief Legal and Corporate Affairs Officer, as required.
  • Interacts directly with senior executives, external agencies, governmental entities, and organizations to accomplish tasks related to the Office of the Group Chief Legal and Corporate Affairs Officer.
  • Prepares and types a variety of routine and special reports from source materials and files, including confidential information.
  • Maintains files and records for the Office of the Group Chief Legal and Corporate Affairs Officer and prepares folders in readiness for daily, weekly, and monthly meetings.
  • Coordinates all activities and details of the office including, but not limited to, notice of meetings, daily schedule, list of action items, agendas, consolidation and/or preparation of all materials for consideration, logistical arrangements, minutes and meeting notes.
Areas of Knowledge, Qualification and Experience
Knowledge
  • Progressively responsible senior administrative experience, including working directly with executives at the most senior level
  • Computer proficiency in word processing, spreadsheets, presentations and databases
  • Demonstrated skills for working in a team-oriented environment
  • Proven ability to organize, plan, schedule, determine priorities and meet deadlines as needed
  • Demonstrated ability to coordinate a variety of different programme areas and a myriad of complex details on a concurrent basis
  • Demonstrated ability to communicate effectively, both orally and in writing, including working with all staff levels and diverse personalities and handling direct inquiries both internally and externally
Education / Certifications
  • Secretarial Qualification
  • Bachelor’s Degree
Experience
  • Minimum of 7-10 years’ experience as an executive assistants/personal assistants
Personal attributes
  • Ability to think outside of the box and to provide input, make suggestions and provide discreet information when solicited
  • Demonstrated ability to exercise absolute discretion in dealing with sensitive material and confidential issues
