We want you to be part of our team in Brussels, working onsite, as a Project Assistant.
WHAT WILL YOU DO IN YOUR DAY-TO-DAY?
- Support Project Managers with the preparation, planning, execution, follow-up, and reporting of training projects.
- Assist with corporate training programmes, management training, mentoring initiatives, financial training, diplomatic training, and AI literacy projects.
- Create and publish training courses on Learning Management System platforms.
- Manage participant registrations, confirmations, attendance records, and training evaluations.
- Support the preparation and coordination of in-person, hybrid, and online training events.
- Assist during training sessions, both onsite and through platforms such as Webex, Zoom, and Microsoft Teams.
- Coordinate training calendars and scheduling through tools such as ServiceNow.
- Support communication activities, including newsletters, intranet publications, and targeted communication campaigns.
- Assist with the preparation of future training plans and project reports.
- Manage functional mailboxes, redirect requests to the appropriate Project Managers, and escalating relevant matters when necessary.
- Collaborate with multiple stakeholders and support training activities for colleagues working at headquarters and in EU Delegations.
Requirements
WHAT DO WE EXPECT FROM YOU?
- At least 4 years of relevant professional experience.
- Proven experience providing administrative or project assistance within complex, multi-stakeholder projects.
- Experience in e-learning and event management.
- Experience supporting the preparation, organisation, and delivery of training activities.
- Good digital skills and the ability to quickly learn new platforms and tools.
- Excellent written and verbal communication skills.
- Strong interpersonal skills, including active listening and the ability to provide clear and empathetic responses.
- Strong organisational, prioritisation, and self-management skills.
- Ability to work under tight deadlines and manage challenging organisational requirements.
- Ability to work effectively within a multicultural environment.
- Strong sense of responsibility and commitment to delivering high-quality results.
- Team-oriented mindset and the ability to collaborate with different stakeholders.
Specific Requirements
- Learning Management Systems such as Moodle, IMC, EU Learn, or similar platforms.
- Content Management Systems such as Drupal, WordPress, or similar tools.
- Communication and online-event tools such as Webex, Zoom, and Microsoft Teams.
- Project management and collaboration tools such as Microsoft Project, Jira, Confluence, and ServiceNow.
- Reporting and data visualisation tools such as Qlik Sense, Tableau, or equivalent.
- Project management methodologies such as PMI, PRINCE2, or PM².
Knowledge of French will be considered a strong asset.
