Job summary

Hansen & Gretel is seeking a Warehouse & Dispatch Coordinator to oversee the day-to-day running of our Rosebery warehouse and dispatch operations for Hansen & Gretel and Ownley. You will manage online orders, returns, and stock accuracy in a fast-paced fashion environment.

Based at our Rosebery head office, this hands-on role requires excellent organisation, inventory control and coordination with ecommerce teams to keep stock, processes and brand standards aligned.

Responsibilities

• Online Orders & Dispatch: Pick, pack and dispatch daily online orders; prepare shipping labels and courier bookings; ensure accuracy and timely dispatch.
• Returns Management: Process online returns and exchanges; update stock in system; coordinate with Customer Service.
• Stocktakes & Inventory Accuracy: Maintain stocktake schedule; resolve discrepancies; ensure physical stock matches systems.
• Warehouse & Stock Management: Maintain clean, well-organised warehouse; label locations; receive and allocate new stock.
• Wholesale & General Dispatch: Assist with wholesale packing and shipments; coordinate samples and stock transfers.
• General Operations: Support launches and peak periods; maintain packaging supplies; ensure safe, tidy work areas.

Job description

We are looking for an organised, proactive and hands-on Warehouse & Dispatch

Coordinator to join our team across Hansen & Gretel and Ownley.

Based at our Rosebery head office, this role will take ownership of the day-to-day

running of our warehouse and dispatch operations, including online order fulfilment,

returns management, regular stocktakes and inventory accuracy.

This is a hands-on role for someone who enjoys working in a fast-paced fashion

environment and takes pride in keeping stock, systems and processes organised and

accurate.

Key Responsibilities

Online Orders & Dispatch

• Pick, pack and dispatch daily online orders across Hansen & Gretel and Ownley
• Ensure orders are dispatched accurately and within required timeframes
• Prioritise dispatch during launches, promotions and peak trading periods
• Prepare shipping labels, documentation and courier bookings
• Liaise with the Ecommerce team regarding order or stock discrepancies
• Ensure all orders are packed and presented in line with brand standards

Returns Management

• Manage the day-to-day processing of online returns and exchanges across both
• brands
• Receive, inspect and process returned items promptly
• Ensure returned stock is accurately updated in the system and returned to the
• correct warehouse location
• Identify and report damaged, faulty or incorrectly returned products
• Liaise with Customer Service and Ecommerce regarding return issues where
• required
• Ensure returns are processed within agreed timeframes

Stocktakes & Inventory Accuracy

• Maintain a structured stocktake schedule to ensure all warehouse inventory is
• regularly counted
• Investigate and resolve stock discrepancies
• Ensure physical stock accurately matches inventory levels within our systems
• Update stock quantities following approved stock counts
• Identify missing stock, incorrect locations and recurring inventory issues
• Assist with larger full-business stocktakes when required
• Maintain accurate records of completed stocktakes and discrepancies
• Work closely with Ecommerce and Operations to minimise overselling and
• unfulfilled orders

Warehouse & Stock Management

• Maintain a clean, organised and easy-to-navigate warehouse and stockroom
• Ensure all stock locations, tubs and shelving are clearly and permanently labelled
• Ensure physical stock locations accurately match our inventory systems
• Receive, unpack, count and organise incoming stock
• Replenish and consolidate warehouse stock as required
• Maintain accurate records of stock movements
• Ensure new stock is received, counted and allocated to the correct locations

Wholesale & General Dispatch

• Assist with packing and dispatching wholesale orders when required
• Prepare cartons and shipments for wholesale customers
• Coordinate incoming and outgoing samples and other business shipments
• Assist with stock transfers between head office and retail stores
• Liaise with couriers and freight providers where required

General Operations

• Support the wider team during launches, sale periods and other high-volume
• trading periods
• Identify opportunities to improve warehouse, returns and dispatch processes
• Maintain appropriate levels of packaging and warehouse supplies
• Keep all warehouse and work areas safe, tidy and organised
• Assist with other operational duties across both brands as required

About You

• Is extremely organised and detail-oriented
• Takes ownership of their responsibilities and follows tasks through to completion
• Has strong inventory and stock management skills
• Works efficiently without compromising accuracy
• Enjoys creating and maintaining organised systems
• Can manage competing priorities in a fast-paced environment
• Has strong communication skills and flags issues early
• Is physically comfortable with a hands-on warehouse role, including unpacking
• cartons, moving stock and being on their feet throughout the day
• Has previous warehouse, ecommerce dispatch, returns, inventory or retail stock
• experience
• Fashion or ecommerce experience is highly regarded
• Experience with Shopify and inventory management systems would be
• advantageous
