Job summary

Brackens Field Maintenance in Dalby, QLD, is seeking a Service Advisor & Workshop Administrator to act as the engine behind our workshop, linking mechanics, customers and suppliers to keep jobs flowing.

You will coordinate parts, support workshop operations, manage bookings, invoices and job cards, and maintain accurate records, while delivering outstanding service to local businesses and farming operations.

Qualifications

• Experience in parts coordination, inventory control or workshop administration.
• Knowledge of automotive, mechanical, agricultural or heavy equipment industries.
• Do-er with strong organizational skills and good communication.

Responsibilities

• Coordinate end-to-end parts process: sourcing, quoting and ordering for machinery, trucks, utes and heavy equipment.
• Build relationships with suppliers to secure pricing and lead times; track orders and backorders.
• Receive and allocate incoming stock to active jobs; maintain organized parts store.

As our business continues to grow, we're looking for an experienced Service Advisor & Workshop Administrator to become the engine behind our workshop.

This is far more than just an administration role. You'll be the link between our mechanics, customers, and suppliers, ensuring jobs run efficiently, parts arrive on time, and the workshop stays organised and productive.

About the Role

No two days will be the same – and that’s what you like.

You'll play a key role in coordinating parts, supporting workshop operations and ensuring customers receive outstanding service.

Parts Coordination

You'll manage the end-to-end parts process, including:

Sourcing, quoting and ordering parts for machinery, trucks, utes and heavy equipment

Building strong relationships with suppliers to secure the best pricing and lead times

Tracking orders and managing urgent requests and backorders

Receiving and allocating incoming stock to active jobs

Monitoring and maintaining inventory levels

Keeping the parts store organised, accurate and easy to access

Workshop Administration

You'll also support the day-to-day operation of the workshop by:

Coordinating service bookings and assisting with scheduling

Processing invoices, purchase orders and credit notes

Managing job cards, timesheets and workshop records

Answering customer enquiries by phone and in person

Providing administrative support to the workshop team and business owners

About You

You'll thrive in this role if you:
