• Liaise with customers, confirming appointments and providing timely updates.
• Maintain scheduling records across business systems.
• Work with technicians and the wider team to resolve scheduling challenges.

We are seeking an experienced Scheduling Coordinator who thrives in a busy environment, loves being organised and takes genuine satisfaction from keeping people, appointments and operations running smoothly.

Coordinating a team of 6 field technicians across VIC, NSW and ACT, you will be the person who brings everything together, managing schedules, planning efficient travel routes, coordinating installations and service bookings, and keeping customers informed.

When plans change, you are the person who stays calm, thinks ahead and finds a solution!

About the Role

This is a hands-on coordination role requiring strong scheduling experience, excellent communication skills and the ability to juggle multiple priorities.

Your responsibilities will include:

• Coordinate daily and weekly technician schedules, installations and service appointments


• Plan efficient geographical routes to minimise travel and maximise productivity


• Manage urgent bookings, cancellations, rescheduling and changing priorities


• Coordinate freight, deliveries and returns to meet service commitments


• Liaise with customers, confirming appointments and providing timely updates


• Maintain accurate scheduling records and information across business systems
  
• Work closely with technicians and the wider team to resolve scheduling challenges
  

About You

You will already have experience in scheduling, service coordination or fleet allocation ideally within a field service, trades, installation or maintenance environment.

You are methodical, proactive and highly organised, with the ability to see the bigger picture while keeping track of the finer details.

You will bring:

• Proven experience coordinating schedules, bookings or mobile workforces


• Exceptional organisation, time management and attention to detail


• Ability to prioritise competing demands in a fast-paced environment


• Strong geographical planning and problem-solving skills


• Excellent communication skills and a confident, professional phone manner


• Confidence managing customer expectations and challenging situations


• Strong computer skills and experience using scheduling systems


• A positive attitude, initiative and a genuine team-first approach
