We are seeking a Receptionist -- Administration to join our accounting firm in Mascot, NSW. This is a Full Time position that plays a vital role in creating a welcoming and professionally managed office environment. As our receptionist, you will be the first point of contact for clients, visitors and callers, and will be responsible for maintaining the smooth operation of our front office. This role is essential to upholding our firm's professional image and ensuring that all administrative processes run efficiently.
Greeting and welcoming clients, visitors and delivery personnel in a professional and courteous manner
Answering and directing incoming telephone calls to the appropriate accountants or staff members
Scheduling and managing client appointments and meetings using practice management systems
Receiving, sorting and distributing incoming mail, ATO and ASIC correspondence and packages
Preparing, collating and sending client documents for signing, and tracking their return
Processing general administrative tasks including filing, scanning, photocopying and document preparation
Maintaining accurate client records and contact details in the firm's database
Managing office supplies and ordering when stock levels are low
Handling basic enquiries and providing information to callers and visitors in a helpful and professional manner
Supporting the accountants and wider office team with administrative duties as required
Proven experience working as a receptionist or in a similar front-office administrative role
Excellent communication skills, both written and verbal, with the ability to interact professionally with diverse clientele
Strong organisational and multitasking abilities with the capacity to prioritise competing demands
Proficiency in practice management software such as Handisoft and Ignition, telephone systems, and a high level of competence in Microsoft Office and MYOB as a minimum
Professional appearance and demeanour with a friendly and approachable manner
Attention to detail and accuracy in record-keeping and documentation
