Job summary

Housing Choices Australia is seeking a Property Development Support to bolster the development team with essential admin functions, project record-keeping, and contract coordination. Reporting to the Director of Property, you will ensure consistent governance practices and timely documents across multiple stakeholders.

You will work closely with finance, treasury, legal, property services and tenancy management, supporting procedures and continuous improvement while maintaining well-organised

Qualifications

  • Qualifications in business administration, project management, community housing or equivalent experience.
  • Ability to support change and deliver practical solutions.
  • Proven experience in a comparable role in housing or related sectors.
  • Experience in preparing management and regulatory reports.
  • Experience in basic reporting and spreadsheets.
  • Proficient with MS Office and related systems.
  • Strong written and oral communication skills.

Responsibilities

  • Coordinate routine administrative activities across the Development team.
  • Maintain calendars, governance schedules and internal deadlines.
  • Maintain registers, trackers and shared records.
  • Assist in preparation of contracts, scopes of works and procurement.
  • Support project documentation and scheduling of works.
  • Draft, review and facilitate execution of project documents and deeds.
  • Participate in meetings and document outcomes for team and partners.
  • Contribute to continuous business improvement within the commercial team.
  • Support compliance by maintaining systems and documentation.

About the role

The Property Development Support position is an important support and admin role within the development team, reporting directly to the Director of Property. Working under the direction of the Director of Property, the role helps maintain consistent project administration practices across development team ensuring accurate tracking of project milestones including contract compliance across a wide range of stakeholders. It ensures project records, meeting outcomes, registers, templates and supporting documents are kept accurate, accessible and up to date for the development team.

This is a cross-functional role working closely with all parts of the Housing Choices business including finance, treasury, commercial transactions, legal, property services and tenancy management teams under the direction of the Director of Property.

Key Responsibilities
  • Actively contribute to creating a high performing and collaborative team.
  • Coordinate routine administration activities across the Development team.
  • Maintain calendars, governance schedules, key administration dates and internal deadlines for the Director of Property.
  • Maintain registers, trackers, shared records and coordination documents to ensure information remains current, accurate and accessible.
  • Assist in the preparation of purchase orders, consultant services, works and construction contracts using HCA precedent documents
  • Assist with project documentation, supporting the development of scope of works, contractor procurement and appointment and scheduling works.
  • Assist in drafting, review and facilitate execution of project transaction documents, such as; contract of sale, agreement of lease, funding agreements and various deeds and side deeds with government bodies.
  • Participate in and document meetings, share information and contribute to achieving team and partner outcomes
  • Contribute to continuous business improvement processes within the commercial team by supporting the implementation of improved procedures and practices
  • Support compliance requirements through maintaining various systems and accurate documentation and assisting with records and file management ensuring records are kept up to date
Skills and Experiences

About you

Selection Attributes

  • Relevant qualifications in business administration, project management, community housing, property development or equivalent experience would be highly regarded
  • Capacity to support change and innovation and deliver creative and leading practice solutions
  • Proven experience and successful track record in a comparable role or discipline(s) in the public/community, private housing sector or transferable sector
  • Experience in preparing management, business and regulatory required reports. Capability to prioritise workload and work autonomously as required
  • Experience in preparing and maintaining basic reports and spreadsheets
  • Experience using systems and MS Office Applications
  • Highly developed written and oral communication skills
